Job overview

The Ward Clerk will give efficient clerical assistance to the Unit. The provision of an efficient clerical service is essential to ensure the speedy admission, discharge, and transfer of patients.

By the nature of the duties, the Ward Clerk will be required to maintain strict confidentiality and will be expected to deal with patients and relatives with courtesy and discretion at all times

The ability to speak Welsh is essential for this post.

 

Main duties of the job

The Ward Clerk is responsible to the Service Manager in providing an efficient clerical service across the wards

For accountability and development purposes, the Ward Clerk will be under the direct responsibility of the Service Manager.

The Welsh language requirements for this post are essential.

Detailed job description and main responsibilities

Complete routine ward documentation which will include: training statistics, bank usage statistics, sickness statistics etc.

Type comprehensive nursing reports in preparation for Managers’ Hearings/ Review Tribunals.

Processing of statutory documentation in relation to the Mental Health Act.

Processing of ward documentation e.g. Admissions and Discharges.

Processing of CTP/Myrddin documentation, including co-ordination of reviews.

Maintain case notes in good condition.

Ensure case notes have sufficient blank pages with patient identification labels attached.

Filing of results in case notes, including those case notes tracked to ‘out of ward’ areas.

Maintain appropriate manual/computerised systems and update as required.

Person specification

Qualifications and/or knowledge

Essential criteria
  • Able to demonstrate English and Mathematics to GCSE C Grade or equivalent level
  • Welsh Speaking (at least Level 3)
Desirable criteria
  • NVQ 2 Admin/Customer Care
  • ECDL

Experience

Essential criteria
  • Working with the public/busy environment
Desirable criteria
  • General experience of administration functions
  • WPAS User
  • Previous Experience working within the health care sector

Aptitude and Abilities

Essential criteria
  • Able to use electronic information systems
  • Able to contribute constructively to a team working environment
  • Ability to use own initiative whilst understanding the need to seek advice from senior staff where necessary
Desirable criteria
  • Working knowledge of Microsoft Office packages
  • Knowledge of Data Protection
