Walsall Healthcare NHS Trust provides integrated acute and community Healthcare in the West Midlands serving a population of 260,000 residents. Walsall Manor Hospital houses the full range of district general hospital services. The £170 million development was completed in 2010 and we are continually upgrading. Construction of the new integrated critical care unit was completed in 2018, extension of a Neonatal Unit and an approved plan to build a brand new, state of the art Emergency Department which commenced in 2021

Job overview

An exciting opportunity has arisen for a Medical Support Secretary to support with the day to day running of  the General Surgery Care Group.  The expectation of role is to work across multiple teams and to provide a professional efficient and effective secretarial support service to support the smooth running of the team.

Your should have out-standing and proven customer services skills or worked in a busy customer care focused environment. You will need to be able to work in a calm, logical and methodical way but also be able to multi-task due to on-going service demands.  You must possess effective communication skills, able to work well under pressure and be a key team player

 

Main duties of the job

Provide secretarial support relating to office procedures including photocopying, filing, faxing, ordering and tracking medical records, dealing with incoming and outgoing post as required.

Use multiple systems to carry out work including Microsoft Office products 

To deal with all enquiries in an efficient, polite and courteous manner providing a caring, compassionate, helpful service to patients, other health care professionals and the general public

Receive and handling of internal telephone calls accordingly, actioning appropriately, liaising with other departments and other healthcare professionals across the organisation to support the patient experience

Detailed job description and main responsibilities

Key Areas of Responsibility will include:

  1. Assists and supports team of Medical Secretaries to provide a comprehensive, medical audio and word-processing service to the clinical team to include the typing of clinic letters and discharge summaries using advanced keyboard skills.
  2. Communicate effectively with all members of the multi-disciplinary team including medical staff both internally and externally as required. Convey information to Medical Secretaries for action as appropriate.
  3. To use electronic data systems to make patient appointments under the supervision of Medical Secretaries.

Maintain, collate and compile data/information from appropriate IT packages i.e. Careflow, Fusion etc. in a prompt and efficient manner

Qualifications

Essential criteria
  • Good standard level of education (2 GSCE’s or equivalent)
  • NVQ level 2 in Customer Service (or equivalent)

Experience

Essential criteria
  • Experience with dealing with patients or working in a customer focused environment.
  • Experience of using IT systems/data input.

Skills

Essential criteria
  • Good keyboard, IT and administrative skills.
