Do you want be involved in admin and dispatch office duties within a pharmacy manufacturing unit which prepares pharmaceutical products? Do you want the opportunity for continued professional development?
We have an exciting opportunity for a Pharmacy Manufacturing Administrative and Dispatch Support Officer to join our Pharmacy Technical Services Department at Ipswich Hospital, 27.5 hours per week (worked Monday – Friday, days are negotiable, however one day must be Friday). Based in our Pharmacy Manufacturing Unit you will assist the team with administration and dispatch, providing service and support to customers.
The department manufactures and supplies a range of pharmaceutical products and provides quality and technical support to the Pharmacy Department, Trust and external customers.
You will be integral in providing support to Customer Service and Dispatch Lead and maintaining an efficient service including processing customer orders, responding to customer queries, preparing products for dispatch, maintaining the filing system and liaising with stakeholders. You will also provide admin and secretarial support to senior pharmacy staff members and to the Pharmacy Technical Service as a whole.
You will work in a busy office, working as part of a team and independently, to manage the workload despite regular interruptions.

- Provide efficient administrative, dispatch and secretarial support to PMU team leads and the wider Pharmacy Technical Services department.
- For this role, you will be required to lift and handle potentially heavy boxes and stand for long periods
- Communicate effectively with colleagues, managers and other healthcare professionals either in person, in written format or by email in a professional and courteous manner.
- Follow guidance and instruction from senior staff, questioning when necessary to clarify information.
- Follow administrative standard operating procedures (SOP) available on the Quality Management system and Trust intranet. Assist line manager with internal SOP reviews including creating and amending SOP’s as required.
- Assist with data collection and inputting of data onto databases and documents
- Assist with the worksheet and label generation and their subsequent periodic review
- Receipting and review of external invoices
- Arrange meetings – internal and external to the department, as required.
- Liaise with internal and external customers regarding order status and product queries
- Liaise with Customer Services and Dispatch Lead regarding stock discrepancies and corrective actions.
- To process customer orders from a signed requisition and pick and pack the stock for dispatch to the customer using good manual handling techniques
