Job overview

This is a key corporate support post for the Trust. This role sits within the Trust Company Secretariat and provides direct support to the Trust Board by ensuring Board Sub-Committees and other senior level meetings are meeting agreed standards of governance and administration. The role also includes a number of responsibilities which contribute to the corporate governance of the organisation, including providing a professional and confidential business support function to the Associate Director of Corporate Affairs and Company Secretary and general support to the Company Secretariat and Legal Services teams.

The role will be based in Basingstoke, but the postholder will be required to attend the Winchester and Andover sites on occasion as required.

Main duties of the job

Working as a member of the Company Secretariat, the main duties of the role are to provide administrative and planning support to the most senior meeting of the trust. This involves working closely with members of the board to maintain forward plans for the year's business and provide a full start to finish a administrative service for each meeting. 

Specific duties will include meeting planning, creating agendas, booking venues and AV equipment,  collating papers, distributing meeting papers ahead of meetings, keeping an accurate record of each meeting, and tracking the completion of actions.

The post holder will also be required to provide general administrative support to the Associate Director of Corporate Affairs, the company secretariat and the legal service team.

Essential criteria
  • • Relevant experience to degree level or equivalent relevant experience.
  • • Recognised computer literacy course or equivalent experience.
  • • Evidence of continuous professional development.
Desirable criteria
  • • Chartered Secretary or equivalent experience.

Experience and Knowledge

Essential criteria
  • • Experience in an administrative role
  • • Excellent IT skills – including producing reports, spreadsheets, and correspondence.
  • • Minute taking experience
  • • Experience of diary management and co- ordinating meetings and events.
  • • Experience of establishing and maintaining efficient systems
