Personality and Complex Trauma Team (PACT) are continuing to grow and expand across the county of Lincolnshire. We are looking for enthusiastic Team Secretary to join our team.

Our current team describe why they are committed to remaining within PACT: Feeling safe, having time and space to deliver high quality care, truly small caseloads and high levels of clinical supervision and reflective practice. PACT practice with compassion and kindness to instil hope and empowerment of the people we support to feel in control of their treatment and inspired to live a meaningful life.

We offer Psychologically Trauma Informed models of care to people with personality difficulties. 80% of people with personality difficulties would no longer meet the diagnostic criteria following evidence-based interventions.

Main duties of the job

To provide a full and efficient secretarial service to the Team including dealing with incoming mail, the provision of minute taking, preparation and distribution service and maintaining details of the team’s whereabouts.

To respond to queries and incoming calls on a daily basis, which may be non-routine and can sometimes involve information of emotional and distressing circumstances, ensuring prompt attention in a professional and sensitive manner, assessing situations and seeking further information where required.

To ensure patient and staff confidentiality is maintained at all times adhering to Trust and national policy regarding same.

To manage own workload, seeking advice when required, performing routine office procedures including typing of reports, letters and other documents, opening and distributing correspondence, dealing with outgoing post, photocopying, filing and faxing in accordance with current trust procedures.

Detailed job description and main responsibilities

This is a role where you will be a highly valued and essential part of the team, with opportunity to use your skills and gain training opportunities to ensure the team is organised, well run and provide the highest level of service. Supporting with creative elements of developing newsletters, formatting training and data collection and supporting analysis. Alongside attending and minuting varied meetings, answering calls, writing letters and maintaining to organisation of documents and files to GDPR and information governance standards. You can use your own experience and skills to define processes within the team and work closely with a multi disciplinary team to provide the highest standards of practice. Qualifications

Essential criteria
  • NVQ level 3 Business and Administration or equivalent/equivalent experience
  • ECDL or equivalent/equivalent experience including sound knowledge of all Microsoft Office packages
  • GCSE in English, grades A-C or grade 9-4 or level 2 Literacy or equivalent.

Experience

  • Relevant experience in a secretarial or administrative role
  • Understands Code of Conduct in relation to GDPR and Information Governance.
  • Demonstrable organisational skills
  • Ability to prioritise and reprioritise in response to service need.
  • Managing own activity within sphere of responsibility.
  • Ability to accurately input confidential data onto a database
