Project Support Officer and Administrator

The North Middlesex University Hospital NHS Trust is a medium-sized acute and community trust with over 525 beds and over 600 community staff, serving more than 600,000 people living across Enfield and Haringey and the surrounding areas, including Barnet and Waltham Forest.

The hospital has been on its present site for over 100 years and was established as an NHS trust by statute in December 1990. The Trust’s services are provided on the North Middlesex University Hospital site as well as a range of community sites across the London Borough of Enfield, including at partner hospitals. They provide services in collaboration with a range of partners, including local GPs, acute, mental health and other community health service providers across North Central London.

In the year ending 31 March 2022, the Trust reported a turnover of £419.7m and employed almost 4,000 staff. Following the transfer of Enfield Community Services on 1st April 2023, this has increased as we have welcomed over 600 new staff including District Nurses, Community Matrons, Community Physiotherapists, Psychologists and many more across a wide range of adult and children’s community services in Enfield. It is an exciting time to join North Mid as we continue our journey to become an integrated care organisation to deliver high quality, seamless care in our local communities, with a focus on tackling health inequalities.

A new opportunity has arisen for a Project Support Officer within the Community Division and part the ABC Parents Program. The post holder will be responsible to lead, manage and develop administrative teams within a rapidly changing and developing business environment and to ensure that transformation, project evaluation and analysis is achieved to support improved patient service/parent co-ordination, networks with partners, business opportunities and required efficiencies. The post holder will also provide administrative support to the ABC Parents senior leadership team and partners within the voluntary sector.

Administrative responsibilities will include referrals management and events booking, email, letters, confidential document management to a high standard; and preparing reports and presentations including formatting in line with corporate style, work  under pressure and to tight deadlines on a regular basis. This will include reviewing SOPs, governance and writing handbooks inline with the project.  This will also include booking venues, preparation of agendas, minute taking, collation and distribution of papers and keeping records of apologies.

They will be expected to use their own initiative to manage correspondence, deal with enquiries, issue of information on behalf of departmental heads as required, and ensuring messages are communicated to relevant staff in a suitable and timely manner. The post holder will also be required to recruit and implement training plans alongside the voluntary sector partners.

As a Project Support Officer & Administrator you will be a vital member of our team supporting our ABC Programme with effective communication and liaising with all partners in managing the project.

Project Support and Administration

  •  Undertake various pieces of delegated project-related work, providing comprehensive and efficient administrative support, demonstrating the ability to review data, analyse data and produce report to illustrate findings
  • Lead on administering the project trackers and reporting processes, checking that the correct process has been followed inline with governance and the SOPs and that all reports are received in a timely manner
  • Support the Clinical lead and health care professionals with administrative duties
  • Support the administration of key transformation of the project, working with the Project Manager, Service providers, Volunteer sector, Partners including but not limited to Public Health, CCG, NCL and both Haringey and Enfield Council.
  • Lead on website design, content, publishing new and updated documents and management of the website.
  • Develop and maintain a library of key project documentation. Including but not limited to MS forms, MS bookings and any other to support the project.
  • The post holder must work on their own initiative, develop their own administrative systems, preferably on MS Teams, problem solve where necessary and make the necessary change for the project
  • Be responsible for planning, organising and managing their own workload effectively in order to maintain an efficient service, adhering to timescales in an environment where priorities are frequently changing.
  • To work in partnership with clinical and corporate service managers to define standard operating procedures within available resources.
  • To ensure there is effective interface with teams providing administrative support within other management structures to avoid duplication, omissions and opportunities for rationalisation of effort and sharing of good practice.
  • Working with clinical and corporate teams providing administrative expertise to develop, define and agree delegated administrative functions and the associated standard operating procedures that will include risk management, resources, training, monitoring and reporting standards.
  • To make effective use of skill mix; ensure agreed and delegated work activities support delivery of clinical and corporate objectives and promote safe patient care.
  • To manage and oversee administrative teams providing support to clinical services and corporate objectives; ensuring that staff are providing effective and efficient support and delivery of the same.
  • To communicate effectively with appropriate levels of empathy and sensitivity; and to establish and maintain relationships and gain the co-operation of others. This includes the skills to motivate, challenge, persuade and articulate a reasoned and balanced case if required for the purpose of sustaining good staff relations and partnership working
