Job overview
This post is for a Medical Secretary/Administrator for our WF Mental health and Wellness Team North.
The successful candidate will have excellent written communication skills and have an efficient and confident approach to dealing with staff, patients, relatives and outside agencies as required.
The successful candidate will be required to undertake all consultant correspondence/appointments and specific administrative duties within the service which directly support the work of the multi-disciplinary teams.
Main duties of the job
To liaise between Consultants and their teams, with the wards, medical records personnel, urgent care teams, pathway services, other hospitals, care coordinators, social workers etc including review meetings and organising appointments in doctors clinics.
To provide cover for the other Medical Secretary/Administrator within the department and carry out any other duties as required by the role.

Probationary Period
This post will be subject to a probationary period. Internal applicants are exempt from the probationary period (unless you are an internal applicant currently part way through a probationary period or currently a bank member of staff).
Starting with NELFT
NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust. All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment. As part of the process new starters will have the opportunity to also meet the executive team, senior managers and attend a number of drop in sessions focussing in engagement, health and wellbeing and key processes. The induction will be held at our head office in Rainham, Essex.
High Cost Area Supplement - Outer London
This post also attracts payment for High Cost Area Supplement of 15% of the basic salary (with a minimum of £4,313 to a maximum of £5,436 p.a. pro rata for part time).
Detailed job description and main responsibilities
Providing high quality administrative and support services to the Clinical Team and maintain office cover
To act as the first point of contact for the Consultant/Team to establish and maintain effective liaison and communication with service users, carers and appropriate others
Maintain office data systems and ensure the input of necessary data.
Have day to day responsibility of administrative tasks including diarising, typing letters and official documents, organising own daily tasks and ensuring workload is completed
Typing ( doctors correspondence including letters, emails, minutes, reports, presentations, discharge summaries, initial assessments and tribunal reports. To arrange clinic and home visit appointments for the Consultant, practitioners and other medical staff as necessary.
Ensure that all email, telephone and personal enquiries are responded to appropriately and in a timely manner.
To provide information, either written or verbal, to other professionals, external to NELFT.
To work with the team in ensuring that office systems which support the day to day function of the team are established and maintained.
Respond to internal and external requests for information.
Ensure that integral data and statistical systems are maintained and returned as appropriate within deadlines
Ensure that all communication both internally and externally is friendly, assertive and professional
Receiving and disseminating information, post, telephone and email in a timely manner.
To prioritise own workload and undertake any other administrative duties deemed necessary in order that the service runs smoothly.
To provide cover for other administrative staff in the event of absences.
