Are you highly competent with admin, organised and have administrative experience?

We are looking for an administrator to join our Emergency Operations Centre (EOC) in Bedford

The role will involve working closely with another member of the administration team and the management team to support the department.

Microsoft Office skills are essential, as is the ability to maintain confidentiality.

Main duties of the job

 

1. Provide administrative support using Microsoft Office packages including Word and Excel. This includes establishing and maintaining office systems both paper and electronic to a high standard.


2. Undertake secretarial and administrative duties, preparing documents with a high degree of accuracy as required by the Emergency Operational Management Team including confidential letters and reports.


3. Draft routine and standard correspondence on behalf of the Emergency Operational Management Team.


4. Prioritise own workload to ensure that work is completed within agreed timescales.


5. Populate and maintain locally the Global Rostering System.


6. In liaison with Emergency Operational Management Teams/Line Manager, maintain resources/rosters ensuring optimum staff unit hours and vehicles against the demand analysis for each day of the week, in line with Trust Policies, Procedures and any other relevant guidance.


7. Communicate effectively with Senior Managers, Managers, staff and colleagues both internal and external. Communicate in a confidential manner when appropriate.

Our three control rooms in Bedfordshire, Norfolk and Essex handle more than 1 million 999 calls every year, over 2,500 calls a day. 

We manage a fleet of over 1,000 vehicles including double staffed ambulances, rapid response cars, operational commander response vehicles, patient transport and support service vehicles.

The East of England works alongside 17 Acute Trusts with Accident & Emergency services and a Major Trauma Centre in Cambridge. Access is available to neighbouring MTCs such as those in London.

Qualifications

Essential criteria
  • 3 GCSEs or equivalent including Maths and English
  • OCR certificate in Office Practice Skills in relevant Microsoft office packages.

Experience

  • 12 months experience within an adminastrative role

  • Ability to deal with a high volume of work whilst maintaining standards and meeting deadlines
  • Able to liaise and communicate effectively with staff and management at all levels in the organisation
  • Ability to work independantly and use own initiative when appropriate
