NHS Norfolk and Waveney Integrated Care Board (ICB) plans and buys healthcare services for our local population. We are accountable for the performance and finances of the NHS across Norfolk and Waveney – a total budget of £2 billion a year. Known as NHS Norfolk and Waveney, the organisation works with local people, health and care professionals, and partner organisations to improve the health and wellbeing of our population.

The organisation is part of the Norfolk and Waveney Integrated Care System. A system dedicated to working with partners in local government, the voluntary sector and others and helping the NHS to support broader social and economic development and to tackle inequalities in health outcomes.

The Primary Care Workforce Team (PCWT) is the ‘go to’ team for Primary Care workforce education, training and development. We work with General Practice, Pharmacy, Dentistry & Optometry within Norfolk & Waveney, to enhance workforce recruitment, development, resilience and retention across the four sectors.

We are seeking a highly motivated and enthusiastic individual to deliver seamless administrative services. As administrator, your responsibilities will include supporting the team in managing workforce programmes and projects as defined by NHS England (NHSE). This involves handling enquiries, collecting information and data entry / analysis, coordinating training courses, and managing associated budgets.

  • Compiling performance reports, preparing reports for committees and maintaining project data

The position requires proactive management of various tasks to assist the team in meeting project deadlines effectively.

Norfolk and Waveney Integrated Care System (ICS) includes a statutory Integrated Care Partnership (ICP), and an Integrated Care Board (ICB) called NHS Norfolk and Waveney. This partnership and organisation dedicated to making sure that organisations work together for the benefit of our residents, staff and communities is an important step change, helping to create positive differences to local people and joining up health and social care. This is the culmination of many years of effort to build partnership working across the NHS, local authorities, the third sector and patient groups.

Main Duties and Responsibilities

  • Responsible for the smooth and effective maintenance of the administrative function and systems of the Primary Care Workforce Team.
  • To provide administrative support including when appropriate, in conjunction with other administrative colleagues, to all team members to support a range of primary care initiatives.
  • Acting as a point of contact, dealing and responding effectively with queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.
  • Receive enquiries for the team when required and monitor the Primary Care Workforce Team inbox, using initiative to respond to incoming queries.
  • Sort and, acting on own initiative, prioritise all incoming mail and Microsoft Teams channel communications, distributing as appropriate.
  • Set up distribution lists and send out communications on behalf of the team, as required.
  • Organise key meetings, training and events for the team and for stakeholders.
  • Working with all team members, the postholder will undertake collection of information for performance reporting, to support delivery of team projects.
  • Produce decision logs, monitor actions arising from key meetings and produce reports of proceedings to be presented at future meetings.
  • As required, manage the diaries of the team to ensure optimal meeting and group attendances, and to synchronise with planning and events.
  • Inputting, monitoring and checking data for ongoing projects within the team, including the course waiting list and continuing professional development (CPD) funding requests, using a range of IT applications.
  • Enter and extract detailed information from databases, interpret the data, assemble into appropriate communication mechanics and circulate.
  • To coordinate the organisation and delivery of events, webinars, workshops and training courses, including agreeing dates, booking venues, monitoring bookings, sending out pre-course information, sending out certificates, following up on attendee feedback and reviewing data with a view to reporting on success of events.
  • Responsible for producing communications for external stakeholders including the weekly Primary Care Workforce newsletter, Training Catalogue and updating the WeCareTogether website.
  • Running and collating reports which may include reports to governing bodies / committees e.g. Primary Care Commissioning Committee (PCCC) and the Training Hub Oversight Board, and senior management as required.
  • Coding invoices on behalf of the team using Oracle and maintaining the Finance Log accordingly, reporting to the Head of Primary Care Workforce.
  • Maintaining efficient administrative support systems and ensure that information is kept securely. Including developing and maintaining effective electronic filing systems, to ensure that information is kept securely, up to date and is accessible to other members of the team.
  • At times work under pressure to assist the team to meet project deadlines.
