Our Education, Training and Development Department based at Hellesdon Hospital is looking for a Senior Administrator to join their growing team!
We’re looking for someone who is motivated, organised and is happy to work collaboratively as part of a team.
This will be a varied and sometimes demanding role, so building an effective rapport with colleagues and being ready to take their guidance and offer your support will be really important.
The Education & Development Department is a key service within the Trust; as well as organising all student placements within the trust, we support new and existing staff with all of their educational and career needs such as providing training courses and identifying apprenticeship opportunities.

Main duties of the job
Be the first point of contact for all enquiries regarding non-medical student placements in the Trust. This includes dealing with confidential information which may be of a sensitive nature
To act upon any enquiry in a timely way – this may include receiving complaints and other concerns
Request placements for students from individual team leaders and discuss concerns with them prior to raising with Education & Training Co-ordinator and Trust Education Lead, using tact and diplomacy skills where required
Maintain the Trust Student Placement database, making adjustments where necessary
Co-ordinate future placements for students and update the student database to ensure records are accurate
Communicate effectively with universities to ensure that deadlines are met, and queries dealt with efficiently
Assist the Practice Educators with the administration of the Nurse Preceptorship Programme, including co-ordination of the monthly sessions, booking speakers, tracking attendance etc

Support the Education Business Co-ordinator and the Practice Education Team in managing allocations for all student nurses, nursing apprentices, trainee nurse associates, psychology trainees and Allied Health Professional (AHP) students coming to the Trust on placement from the University of East Anglia and the University of Suffolk and other ad hoc universities.

Detailed job description and main responsibilities
Be the first point of contact for all enquiries regarding non-medical student placements in the Trust. This includes dealing with confidential information which may be of a sensitive nature
Assist the Practice Educators with administrating the Nurse Preceptorship Programme, including co-ordination of the monthly sessions, booking speakers, tracking attendance etc

Ensure placement audits are up to date
Update any external databases as required
Assist with the upkeep of the live Nurse Assessor/Supervisor register
Arrange training for all students coming on placement to the Trust, working closely with the Prevention and Management of Aggression (PMA) team and the IT Training team
Liaise with the Trust Onboarding team to set up clinical systems access for students on placement
Support the development of new placement areas within the Trust
With the support of the Education Business Co-ordinator and the Practice Education Team, allocate learners of all disciplines to appropriate clinical placements, ensuring capacity of each clinical placement is not breeched
Introduce new ideas to improve on administration procedures around student placements
Provide supervision and appraisal to administration staff as identified by the Education Business Co-ordinator
Work closely with other Education & Development staff, assisting with any queries or interruptions
Attend and contribute to all internal / external meetings as relevant to the post
Provide data as requested
Ensure the workload of the team is prioritised
Contribute to effective communication by liaising with internal and external parties and agencies, including staff, managers, service users and other stakeholders
Deal with general enquiries and maintain an efficient message system co-ordinating with team members.
Provide Induction, support and advice to new/temporary staff as identified by the line manager

- NVQ 3 Business Administration or equivalent expereince
- ICT Qualification at diploma level or equivalent experience
