Admin Support Manager - Tieve Tara Medical Centre

The post holder will be responsible for supporting the management of the administrative and operational efficiency within Tieve Tara Medical Centre providing support to the Practice Manager and Primary Care staff including the GPs. 

The post holder will provide leadership, training and line management support to the administrative staff including the receptionists at Tieve Tara and act as the deputy for the Practice Manager.

The post holder will also support the clinical team in achieving QoF, the Wakefield Practice Premium Contract and completing spirometry.

Under the leadership of the Practice Manager you will be expected to maintain a highly effective, professional team who continue to deliver the highest standard of service to our service users and stakeholders. This will incorporate skills such as compassionate leadership, innovation, creativity, and collaboration across all levels within the team and wider network of Spectrum CIC.

To manage and co-ordinate the overall administration process and ensure that a responsive service is available and provided to colleagues, managers and patients.

Maintain a highly organised office environment to maintain confidentiality and data protection and set office standards for the team. 

Provide day to day operational support to the team of admin and reception staff in the provision of admin services within Tieve Tara Medical Centre.

Utilise clinical expertise to develop procedures and processes to support the nursing team including management of diabetic patients and spirometry.

Identify consistent admin process and delivery plan for:

  • Management of Patient registrations and summarising of records received.
  • Co-ordinating and monitoring prescriptions and prescribing requests
  • Co-ordinating and monitoring reception triage of patient calls and management of appointment bookings
  • Monitoring of number of patient calls received
  • Monitoring and overview of staff rotas ensuring effective use of systmone and completion of admin tasks within agreed timescales.
  • Ensure admin processes support effective management of safeguarding requirements for both children and adults who are patients at the practice
  • Monitoring and management of coding and completion of patient letters received.
  • Support staff to have management supervision to maintain development.
  • Ensure training and development needs for staff are identified and training opportunities are shared with staff.
