Job overview

An exciting opportunity has arisen for an Admin Team leader within the Gynaecology & Fertility Services; this is an exciting opportunity for the right candidate to develop or further expand their management and leadership skills.

The Admin Team Lead role is diverse and interesting, where no day will be the same; you will help support the secretarial and administration teams in both Gynaecology & Fertility. We are looking for an enthusiastic leader, who will be able to look at improvement and efficiencies in processes, as well as support the team with other administrative tasks. 

You will support the Medical Team with their rosters and new Doctor Inductions, working with a Multidisciplinary team while also keeping some patient contact.

Main duties of the job

Line managing of secretarial, administration and audio typist team, including managing planned and unplanned leave, completing staff appraisals and recruitment processes.

To provide full administration support for the Medical workforce rota, supporting the Gynaecology Clinical Leads & College Tutor. Supporting the Fertility Service with scheduling of clinical activity with their Clinical Lead and wider team input.

Providing administration support for key Governance and Business meetings, including collating of papers, minute taking and updating action trackers.

Pro-active in service improvements (as agreed with the Admin & Operational Manager) to create the most efficient  service possible.

Deputising for Divisional Admin Manager if and when required.

Education & Training

Essential criteria
  • Educated to GCSE Level, English Language and Math Grade C or above
Desirable criteria
  • Team Leader Level 3 Apprenticeship or equivalent knowledge and experience
  • Minute taking training or equivalent knowledge and experience

Experience

Essential criteria
  • Experience of staff and office management as a Team Leader or Supervisor
Desirable criteria
  • Experience as a Medical Secretary/Audi typist
  • Experience of working in a busy office environment in a healthcare setting

Knowledge & Skills

Essential criteria
  • Excellent communication and relationship building skills
  • Excellent organisational skills
  • Ability to work on own initiative, analytical and problem-solving skills
