Hours: 15 per week, all MKUH roles will be considered for flexible working

Ward 19 is mixed sex, frailty and general medicine 30 bedded ward. We have a large team of doctors, nurses, and therapy team, and work closely with other multi-disciplinary teams. We are friendly, approachable, and supportive, and looking for a ward clerk to add to our team.

Main duties of the job

To support ward staff and ward working in an admin and clerical capacity to ensure the environment is safe and effective.

 

  • Telephone responder
  • Liaison between ward and other wards and departments
  • Ensuring databases and Trust systems are kept up to date
  • Medical records management

Detailed job description and main responsibilities

  • Greet all visitors to the unit in a friendly, helpful and courteous manner.
  • The undertaking of general organisation of paperwork and notes within the Unit to ensure an organized department.
  • To answer the telephone, taking and delivering messages in an appropriate and helpful manner. Manage Out-patients diary.
  • To liaise with staff from other departments in an effective manner to include the bed manager/medical records/divisional bleep holders as requested.
  • Deal with and distribute incoming mail, checking and replying to ward emails.
  • Ensure all patients’ notes on the unit are maintained in good order with test results promptly and correctly filed.
  • Arrange out patient’s appointments as required.
  • Carry out procedures via the Trusts computer system for the admission, transfer and discharge of patient’s.
  • Organise hospital transport as requested.
  • Undertake computer-training courses as required, and ensure up to date bed states daily.
  • Be involved in the training of new staff (with the support if the IT department) in use of the Trusts computer systems.
  • Order and maintain adequate supplies of equipment, printing and stationary.
  • Complete request for repairs, maintenance etc, as requested. Ensuring a good audit trail and follow up as required until completed.
  • Deal with personal effects and documentation relating to lost property and property belonging to patients who have died on the unit.
  • Provide cover as required in the event of another ward clerk within the medical directorate being absent.
  • Liaise with all other departments as needed regarding day-to-day unit communication
