Job overview

We are seeking to appoint a Band 2 Ward Clerk to work within the Emergency Care Directorate at Ysbyty Gwynedd.

37.5 hours per week (working pattern: Monday to Sunday).

It is essential that the applicant has knowledge of secretarial or administrative procedures and systems and possesses a high level of computer skills including Microsoft Office, WPAS and iFit; and an excellent bilingual telephone manner. A flexible approach to work is needed to meet the demands of the service.

You will possess excellent time management skills, be well organised and have the ability to prioritise workload demands to meet strict deadlines, whilst producing work to the highest standards.

You will also have the ability to work both independently and as part of a team, using discretion, judgment and initiative. Excellent written and verbal communication skills are essential together with a keen eye for detail, with the ability to process and generate urgent and routine correspondence.

Candidates must be able to maintain patient confidentiality and ensure a high standard of customer care at all times.

The ability to speak Welsh is essential for this role.

Main duties of the job

The Emergency Care Ward Clerk will be responsible for providing a professional, efficient, accurate and prompt administrative/clerical service to the ward to ensure the speedy admission, discharge, and transfer of patients.

By the nature of the duties, the Ward Clerk will be required to maintain strict confidentiality and will be expected to deal with patients and relatives with courtesy and discretion at all times.

For accountability and development purposes, the Ward Clerk will be under the direct responsibility of the Service Support Manager - Emergency Care.

Detailed job description and main responsibilities

  • To receive and respond to telephone enquiries from patients, families, other agencies and Health Board staff in a professional, helpful and sensitive manner, answer queries within own area of responsibility or refer to the appropriate department.
  • Communicate with GPs; other Health Services and Social Services; Hospitals, Independent and Voluntary Sector, patients and relatives.  Dealing with enquiries without the need for direction in a large proportion of queries.
  • Processing ward documentation e.g. admissions and discharges.
  • Use of WPAS to manage all referrals, waiting lists and appointments for all patients in a timely manner.
  • The post holder will ensure that all case-notes, their content and other records are tracked to the relevant person, and returned to file as quickly as possible in a tidy condition.
  • Filing of results in case notes, including those case notes tracked to ‘out of ward’ areas.
  • Maintain appropriate manual / computerised systems and update as required.
  • Photocopying of appropriate documentation as directed.
  • Undertake clinical coding as directed.
  • Monitor and maintain stationery supplies for the ward.
  • Handling of patient’s property at the request of the Ward Manager and liaising closely with General Office to ensure safe keeping of said items.
  • Any other ad hoc duties, which are reasonable and appropriate to the grade, thereby supporting each other as a team and the Service as a whole.

  • Maths/English GCSE or equivalent experience
