Sirona care and health has an exciting opportunity for a Safeguarding Administrator to join the Integrated Safeguarding Team, working predominately with the Safeguarding Children's Team in Bristol. 

We are a cohesive and dedicated safeguarding team committed to the ‘Think Family’ model and so you will be working in partnership with health colleagues and partner agencies with a holistic focus on improving outcomes for vulnerable children/young people ensuring that their voice is heard. Main duties of the job

To provide a comprehensive administration service for the service/department, including, for example, answering telephone and/or email enquiries, managing clinical and non-clinical records (paper and electronic), formal correspondence, photocopying, arranging meetings/events/appointments and liaising with a range of clients/patients/carers, partners, colleagues and visitors. The post holder may provide reception/mail-handling services and/or meet and greet visitors, arranging appropriate hospitality.  They may provide day to day supervision of others.

 

The post holder will be responsible for managing highly confidential information relating to Child Protection and safeguarding cases, including the coordination of court reports and statements.

Experience

Essential criteria
  • • Experience of using Microsoft Word (create and format documents, mail merge), Microsoft Excel (create and format spreadsheets, simple formulae). Experience of databases (enter data, run simple reports) and producing reports/charts. • Experience of using/editing power-point presentations.
  • • Experience of using/editing power-point presentations.
  • • Approximately 2 years’ experience of working effectively as part of an administrative team.
  • • Previous experience of producing legal reports / statements desirable
  • • Experience of supervising or checking the quality of the work of others.
  • • Experience of maintaining confidentiality and handling sensitive information.1
Desirable criteria
  • • Experience in a similar work environment or service is desirable.

Skills

Essential criteria
  • • Excellent written and verbal communication skills.
  • • Polite telephone manner and demonstrable evidence of meeting high standards of customer service and targets/performance indicators.
  • • Time Management/Prioritisation and organisation skills.
  • • Attention to Detail.
  • • Moderate typing speed (approx 40 – 50 words per minute). Some posts will require the ability to undertaking audio typing at this speed.
  • • Ability to be flexible to meet the needs of the service (e.g. occasional adjustment of working hours to deal with an emergency or help manage an unusually high workload).
  • • Ability to demonstrate emotional resilience to cope with the emotional demands of the role.
  • • Ability to travel to other Sirona locations across BNSSG (e.g. meetings, training, covering for colleagues, transporting urgent mail or equipment).1

Knowledge

Desirable criteria
  • • Knowledge of child protection administrative work including domestic abuse MARAC as it relates to health would be advantageous for this post.

Qualifications

Essential criteria
  • • Good general education to GCSE level or equivalent – to include a C Grade in English and Mathematics.
  • • NVQ level 3 in Business Administration or equivalent administrative qualifications or study, and a willingness to undertake appropriate administrative training where appropriate.
  • • Intermediate level of IT skills (broadly equivalent to NVQ3, ECDL Extra, or RSA2/3).
