Job overview
As an Administrator at our Urgent Treatment Centre (UTC) in South Bristol. you will be supporting the communication of complex and sensitive information. You will need to adapt your style of communication according to need and situation. You will be required to have problem solving skills, be able to manage expectations and use your judgement. You will support the UTC Administrators to deliver day-to-day administrative duties, ensuring that all administrative work is completed as required with accuracy and within set timeframes. Supporting performance reporting and collection of data for audits and CQC will form a key part of the role.
You will also be required to communicate effectively and efficiently with all levels of management and staff, always displaying a high level of tact and diplomacy and processing sensitive information confidentially.
We have 1 part time post available:
18.75 hours per week
Main duties of the job
· Booking patients into the unit using the Adastra computer system, applying an initial priority to each individual according to their illness / injury and in line with the signs and symptoms training.
· Using own initiative to change the priority of patients within the waiting room, alerting the Senior Clinician to any required changes.
· Maintain safe patient numbers within the department waiting room, ensuring that additional space is used once maximum patient numbers have been reached.
· Maintain oversight of patients within the waiting room and external spaces.
· Use a range of media to communicate with others, including face to face, telephone, email, letter and conference calls.
· Provide a point of contact for the service (including patients, carers, healthcare professionals and other external partners), responding to requests for information and signposting as required.
· Answering the telephone within a timely manner and acting in a professional manner on all occasions.
· Provide routine administrative support for the unit, maintaining confidentiality at all times. This might include (this list is not exhaustive): email, telephone calls, scanning, typing, filing / disposal of sensitive material.
· Ensure relevant information is inputted onto IT systems with a high level of accuracy (systems include: EMIS and Adastra (patient record systems), Electronic Staff Record (ESR), WAP and supply chain ordering).

Experience
Essential criteria
- Range of IT skills including electronic communication, text processing, spread sheets and databases, including knowledge of Microsoft Office
- Knowledge of the Data Protection Act and confidentiality.
Desirable criteria
- Working in a health/social care or service-oriented organisation
- Prior use of patient database, Adastra, Medway & EMIS system knowledge
Qualifications
Essential criteria
- Numeracy and Literacy level 2 qualification or equivalent demonstrable skills
- NVQ 3 in administration, or equivalent demonstrable experience
Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
