Job overview

·         To receive and welcome patients to the X-ray department, working on rotation in main and ultrasound and Cauldwell reception areas of the Radiology department.

·         To use Radiology information systems, (CRIS/PIMS).

·         To communicate with medical, technical and support staff to ensure the smooth running of the imaging service.

Main duties of the job

 To receive patient arriving at the reception and giving clear directions to relevant patient waiting area.

To deal sensitively and discreetly with patients’ queries both by telephone and when they attend the Department. Use specialised knowledge of various imaging modalities, to advise if patients need to change, offering assistance if required. To use flexible communication skills to overcome barriers to understanding as necessary. Refer to relevant professional staff if needed. To occasionally deal with patients when upset distressed, or unwell. This may entail dealing with aggressive patients and their relatives.

To check the referral information and personal details with the patient when they arrive in the department and enter all new information or update previous information on the Radiology information system (CRIS/PIMS) ensuring there is no duplication of information. 

To be able to assess the baseline requirements on an imaging request, such as correct patient and clinical information and the appropriateness of the request. To use initiative, guided by department protocols, in assessing any non-routine requests, being able to give basic clinical guidance where necessary.

 To proactively oversee the length of wait for all patients, use appointment sessions to a maximum to ensure no waiting list breaches occur and highlight any potential problems with possible solutions to manager.

Detailed job description and main responsibilities

 To keep patients waiting informed of any delays liaising with imaging staff so that information given is current and accurate. 

 In a courteous manner to communicate with patients, visitors and staff face to face, throughout the working day responding to queries, giving information and directions as required.

  To liaise with all staff within the department ensuring that the patient information is transmitted to the appropriate professional group in a timely manner.

To respond to telephone calls GP’s and external medical agencies on a daily basis.

On a daily basis organise own workload seeking help when appropriate.

As required demonstrate and teach own duties to new staff.

 Will be required to participate in annual appraisal system.

 Will be required to adhere to policies and procedures relevant to employment in the Trust. To be familiar with and to use continuously the Imaging Department and ICE and IPM computer system to register patients, track files, make appointments and deal with records of patients who do not attend. Undertake day-to-day housekeeping inclusive of backup of the CRIS computer system. Use CMIS Maternity system for checking details of patients. 

 To make appointments when required- printing appropriate prep sheets posting or phoning patient depending on urgency of appointments

To be familiar with the duties and provide cover for other members of the Clerical Imaging Directorate team when required to ensure that fully integrated office systems are maintained.

To maintain records for the department, including DNA, waiting lists, number of referrals and ad hoc audit information.

  To schedule appointments on CRIS (Radiology computer system) taking into account the patient’s medical condition for example, diabetes, and forthcoming clinic appointments. Arrange associated details such as admission of patient for imaging procedures, book transport and translators. Check menstrual cycle dates for certain examinations. To provide straightforward clinical information to patients where necessary.

On receipt of referrals register, the patient on PIMS (Patient Master Index) when appropriate and then if required to register and “pend” on CRIS. To scan referrals and other patient documents into CRIS as required. To move electronic orders to appropriate waiting lists on CRIS.

Essential criteria
  • GCSE mathematics and English (or equivalent)

Experience

Essential criteria
  • Knowledge of ICE/IPM/CRIS
  • Experience of working as part of a team and on own initiative
  • Competence in use of various computer software packages
Desirable criteria
  • NHS experience in appointment bookings
