Waiting List Co-Ordinator

The postholder is responsible for the day-to-day coordination of inpatient waiting lists and theatre lists using multiple system applications, managing emails and phones calls in a timely manner .

 

This requires the postholder to be the main point of contact for patients, relatives, and a broad range of staff across the organisation.

 

The postholder will be required to work independently and be part of   the Waiting List team. Effective communication, organisational ability, and good keyboard skills are essential, for this post.

To identify, contact, by telephone and letter, and  then book patients for surgical admissions, using Trust systems, in line with agreed Theatre timetables.

Arrange admission dates in accordance with patients' clinical priority and wait time.

Arrange Patients' Pre-Assessments and ensure patients have attended and are fit to proceed.

Undertake regular validation of the waiting list by contacting patients, via telephone or letter.

Ensure that patients are informed immediately when their procedure is cancelled and promptly re-scheduled.

  • To be responsible for using the ICE system to review ETCI requests, and to create accurate waiting list entries, on the Trust PAS system, on daily basis. This must include input of the following information: Surgeon, Speciality, Priority, List name, admission type, anaesthetic type, who can operate, Intended bed management, admitting ward, and the surgical procedure required, including the anticipated length of the procedure, using the relevant ATOM time.
  • To accurately enter the coding of the procedure into the Trust PAS system.
  • To ensure that any additional, relevant information, is entered into the waiting list entry or Trust PAS system, or the theatre list, in OPERA.
  • To maintain accurate waiting lists, ensuring that RTT clocks are set daily, and any stopped RTT pathways are validated.
  • Responsible for acting upon the confirmed theatre timetables to compile and maintain accurate and appropriate theatre lists in a timely manner using the Patient Tracking List and Waiting list to date patients giving reasonable notice which take into account factors including case mix, theatres equipment, Imaging availability, theatre time, clinical need, list order of operating list etc.
