Job overview

This role will support the administration of the vaccination centre, providing ongoing support for vaccination of staff and patients for COVID-19, Flu, RSV and Pertussis. The team are exploring exciting new services such as travel vaccinations and supporting other services across Berkshire, Oxfordshire and Buckinghamshire

This role will involve receiving calls and emails from patients, and other departments within the hospital, screening patient eligibility, creating databases on vaccination activity and stock levels, creating and preparing clinic lists, bookings and arrival management. 

The role combines some clinical duties, and the post-holder will be expected to be flexible to support this service. This may involve collecting vaccine stock, re-stocking fridges, cleaning and re-stocking clinical areas and updating noticeboards. The team often deliver vaccines through a roving model and the post holder will be expected accompany the team walking across the hospital site delivering vaccinations and advice. We also deliver clinics to satellite sites, and occasionally patients own homes, so the post holder must have a driving license and access to own car

Post holders will also need excellent IT skills and ability to use multiple Trust systems. Knowledge of MS Excel functions such as basic pivot tables and conditional formatting advantageous.  Attention to detail will be imperative.

Main duties of the job

  • Assist with queries from staff e.g. vaccine availability and eligibility, using the up to date Trust guidelines, escalating to senior staff appropriately
  • Sending up to date communications out
  • Updating and editing the website with relevant information
  • Assist Compiling reports on Trust Vaccination status
  • IT support, trouble shooting for DRDoctor, working with the system provider to improve the service
  • Handling  and capture of personal data and ensuring its submitted accurately and in a  timely manner with all obligations met and highest level of confidentially is maintained
  • use of EPR to check admission status and outpatient appointments
  • Using own initiative and working in a fast paced environment to hit deadlines
  • Monitoring observation and reception area post vaccination
  • Assisting nurses during clinics
