Main duties of the job

We have an exciting opportunity for an administrator to work within the existing Admin/clinical Team in the Care Coordination Centre/ Virtual Wards.

The post holder will be responsible for general administration duties, and will need to be able to support the Clinical staff with administrative tasks.

 In addition, the post holder will also be responsible for the inputting of data, booking appointments into clinician’s diaries and the maintenance of administrative systems and processes to support the smooth running of the Care Coordination Centre/ Virtual Wards.

 The successful candidate will need to demonstrate experience of working in a fast-paced environment as well as working as part of a team.

 Key responsibilities of the Administrator:

  • To maintain the diary for UCR clinicians.
  • To process referrals
  • Responsible for retrieving messages, receiving other telephone messages, and ensuring that messages are recorded and brought to the attention of the team within agreed timescales.
  • To use NHS computer systems including Rio, CIF and CAD
  • Assist with the general upkeep and tidiness of the office, for example updating and maintaining the notice boards.
  • The work of the team is flexible and variable in content and any additional tasks with the scope of the post may be required. Any changes will be fully discussed with post holder who may be required to carry out other duties appropriate to the scope and grade of the post.

Detailed job description and main responsibilities

The successful candidate will have a good level of general education with good communication and organisational skills with the ability to work to deadlines and process work accurately.

You will need to be computer literate with a working knowledge of window based computer packages such as Microsoft Word, Excel and Outlook.

The post will involve a range of general admin and clerical support including data entry, copy typing, filing, answering the telephone, receiving referrals and using clinical systems such as RiO, MAPS and e-Procurement.

Essential criteria
  • GCSE English Grade C or above or equivalent/or equivalent experience
  • GCSE Maths Grade C or above or equivalent/or equivalent experience
  • ECDL or equivalent IT qualification
  • NVQ Level 3, Diploma or equivalent experience.

Experience

  • Able to work to deadlines
  • Experience of Microsoft Word, Excel and Outlook
  • Previous experience of administration and clerical work

  • Experience of filing systems
