Job overview

We are seeking an enthusiastic and motivated individual for an opportunity that has arisen to join our team at our Trust Headquarters Priestley Wharf in Birmingham as an Executive Assistant to provide the business support for the Chief Operating Officer.  The post is an essential role which provides for a dynamic, flexible/agile working pattern and individuals with an existing comparable experience in the role or similar would be an added advantage. 

Main duties of the job

As Executive Assistant, the post holder will provide high level, comprehensive business and administrative support for the Chief Operating Officer and manage the business and administrative function for other designated managers of the Directorate as directed, ensuring a systematic and effective service is delivered.
The post holder will be responsible be responsible for specific project work as required by the Director and the Directorate.
The post holder is required to be a highly experienced and organised individual with significant experience in diary management, minute taking at Board level and coordinating meetings.

The post holder will provide a key link between the Director and his/her direct reports, ensuring that programmes of work are co-ordinated effectively, deadlines are met and that corporate and team working develops throughout the directorate.
The post holder would be based at our Trust Headquarters, within the Executive Office at Priestley Wharf in Birmingham.

Qualifications/Training

Essential criteria
  • Excellent level of general education – English language and numerate
  • Minimum RSA II Typing/Word Processing or equivalent skills
  • Extensive Microsoft Office knowledge and usage
  • Project Management qualification or evidence of Project Management in practice

Experience

Essential criteria
  • Relevant experience as a EA/PA/Secretary in a large complex organisation
  • Evidence of meeting management/minute taking skills at high level meetings
  • Evidence of working on own initiative to high standards against tight deadlines
  • Evidence of taking lead in delivering key pieces of work
  • Plan highly complex workload

Skills/Knowledge

Essential criteria
  • High standard of written English
  • Excellent verbal and written communication skills including the ability to compose correspondence from dictation and written brief. To have the ability to compose routine correspondence and replies for the Director
  • Knowledge of producing and following through on formal, complex minutes
  • Ability to confidently administer all aspects of meeting management
  • Excellent organisational Skills
  • Excellent inter-personal and negotiating skills.
