Job overview

Provide administrative and clerical support to the department including liaising with budget holders and obtaining authorisation for contract payments and invoicing requests. To be the front of house support for enquires and assist in requests for service from the end user. Liaise with Procurement and Finance to ensuring new equipment is added to the Trusts medical devices database correctly with the relevant paperwork, ensuring asset details are correct and required 3rd party contracts are identified in a timely manner

Main duties of the job

Liaise with people and organisations both internal and external to ensure the smooth running of the medical engineering dept.
To be the focal point for all in-coming calls, responding promptly and efficiently, initiating action as appropriate, relaying accurate, technical, and clinical messages ensuring that all calls receive immediate action.
Ensuring that all requests for service and reports of faulty equipment are logged with full details of the reported fault onto the computer system.
Responsibility for ordering and accurately checks and processes invoices for payment. Ensuring all documentation is dealt with appropriately.
Monitor 3rd party open calls and advise medical engineering manager of any delays in medical equipment being returned to site.

Liaises with suppliers and service providers as required to include arranging service visits and negotiating maintenance contracts.

Manage the portfolio of service/maintenance contracts. Liaising with suppliers, NHS Supply Chain and client departments as necessary.
Day to day management of circa 19000 item asset register, ensuring all equipment is located and correctly serviced in line with OEM requirements, in a timely manner in accordance with Trusts KPI data. E-mail inventory notifications and co-ordination of engineers to carry out equipment servicing.
