The role provides administrative support to our patients, both over the telephone within our contact centre and face to face in our outpatient areas. From booking appointments, issuing letters and answering patient queries to coordinating outpatient clinics and supporting our clinical colleagues, there’s never a dull moment!
The post holder will rotate within the building to ensure specific areas are covered and work closely with other staff to ensure all essential duties within the team are maintained. The post holder is required to develop knowledge of all services, manage patient queries, engage patient and clinicians and provide a proactive patient focused appointments service.
Main duties of the job
To work within one of five Specialty Management Groups providing a comprehensive, efficient and effective administrative service in order to meet the Trusts patient waiting time targets and enhance patient experience.
The Specialty Management Groups are often the first contact a patient will have with the Dental Services and may be regarded as the ‘shop window’. The post holder will be required to provide excellent customer service to all patients ensuring that they are polite and courteous at all times.
The post holder will carry out clerical and administrative duties to ensure the efficient operation of the dental service. The post holder will be responsible for the line management of their own workload and will be expected to develop and maintain up to date knowledge of all services within their Speciality Management Group which will enable them to deal with any service related queries.
To have a proactive approach and work flexibly within the dental team providing high quality dental care for a wide spectrum of patients including adults, children, and patients/clients with special needs and medically compromised patients.
This is a fast paced, multi-skilled and multi-tasked role therefore the post holder will be expected to be flexible and rotate with other team members thereby ensuring cover across other Specialty Management Groups as and when required.

Experience
Essential criteria
- Previous administrative experience.
- Previous experience of working with the general public.
- Call Centre or Reception experience.
Desirable criteria
- Experience of working with a wide range of professionals.
Qualifications
Essential criteria
- GCSE/CSE level C or equivalent in Mathematics and English or equivalent administrative experience
- RSA 2 or equivalent experience in typing or word processing
- Level 3 NVQ in Business Administration or equivalent administrative experience.
Desirable criteria
- Customer Service experience
Skills/Knowledge
Essential criteria
- Excellent communication and organisational skills.
- Excellent keyboard skills.
- Evidence of extensive use of computer programmes; Outlook, Microsoft Office, Excel
- Ability to work as a member of a team.
- Ability to use own initiative and prioritise workload in a methodical approach to work.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
