Job overview
The post holder is expected to work flexibly to ensure that a high quality secretarial and administrative support service is always maintained. The post holder will be responsible for arranging and servicing meetings, coordinating day to day diary management for the Heads of Service, the production of presentation material and reports and ensuring that service contact receive a prompt response to all correspondence and enquiries.
Main duties of the job
To provide Personal Assistant support to two Heads of Service, this includes opening, recording, and distribution of post daily email; producing quality documents (letters, reports etc) and despatching appropriately; responding efficiently and effectively to telephone enquiries.Provide a secretarial service to other members of the Senior Management team.Provide a senior secretarial service to meetings including booking rooms, arranging refreshments, preparation, and distribution of papers and agendas, producing OHP/electronic presentations documents, taking appropriate minutes as necessary and co-ordinating of follow up action.
- Undertake, coordinate, and monitor administrative tasks as required by the Administrative Manager to include development and maintenance of relevant databases, compilation of ad hoc and regular reports.Maintain and operate a bring-forward system where papers and reminders are brought forward at appropriate times to ensure deadlines are kept.· Co-ordinate and maintain effective office systems including the maintenance of personal files and general filing systems, locating departmental information efficiently and effectively.

Detailed job description and main responsibilities
- The post holder will be required to undertake adhoc project work on behalf of the Head of Service / Business Support Manager.The post holder will be required to provide cover for colleagues of the ICCR Management Office during periods of absence and leave, as and when required in the interests of the Service.
- The post holder will be expected to work under own initiative, prioritising workload in line with the objectives of the Heads of Service and Senior Management Team.

Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
