Job overview

  • Provide the first point of contact for the department and dealing with queries, as appropriate, or delegating where possible to other staff in the department.
  • Providing management of the local office and ensuring prioritisation of workload to meet deadlines and flow of correspondence, as necessary. This will include ensuring the timely turnaround of outpatient letters, clinic results and other correspondence, as appropriate.
  • Provide appropriate cover for the other secretarial staff in the department if they are absent from the office (including across all hospital sites).  
  • From on-call rota, identifying the need for clinic cancellation, including preparation of relevant clinic change forms in accordance with Trust policy
  • Identify the need for clinic cancellations following request for leave from clinicians, and preparation of relevant paperwork, ensuring that all modifications and changes to clinics are in line with 6 week cancellation time frame.

Main duties of the job

  • Liaison with the cardiology booking team to ensure optimisation of outpatient clinics – particularly urgent appointments.
  • Minute taking for departmental meetings.
  • To provide guidance and training for more junior members of the team, acting as a mentor to Trainee medical secretaries in the department.

Work with all junior secretarial and administration staff to ensure annual leave is planned throughout the year, ensuring office cover and secretarial support is provided within specialty or across specialties.  This may involve undertaking any of the duties of the employee on annual leave, or providing advice and support to locum employees and other support staff.

EDUCATION, QUALIFICATIONS & TRAINING

Essential criteria
  • GCSE Math & English or equivalent
  • Medical Secretarial Course/Medical Terminology Course, or ability to demonstrate equivalent
Desirable criteria
  • RSA 1 and 2 or typing qualification

EXPERIENCE

Essential criteria
  • NHS Secretarial Experience
  • Experience of working in an environment dealing with Highly confidential data
  • Experience of audio typing
  • Experience of working within a busy office environment, always maintaining professionalism
Desirable criteria
  • Minute taking experience

SKILLS, ABILITIES & KNOWLEDGE

Essential criteria
  • Knowledge of Microsoft Office Products
  • Good written and telephone communication skills, to enable liaison with staff at all levels
  • Ability to organise and prioritise busy workload
  • Ability to work as part of a team and recognising the needs of others
  • Willingness to cover the duties of other secretarial staff
Desirable criteria
  • Knowledge of Data Protection Act 1998, (ability to maintain patient confidentiality)
  • Knowledge of Trust systems

SPECIAL CIRCUMSTANCES

Essential criteria
  • Ability when necessary to travel between the 3 hospital sites within the trust
  • Able to maintain a flexible approach to the role and duties
