Job overview

An exciting opportunity has arisen for a highly motivated individual to join our Pathology Management team. This is a great opportunity for someone to use their administrative and IT skills, as well as gain experience in taking minutes, diary coordination, data presentation, analysis and tools relating to laboratory operations to support in the management of our Pathology Senior Management Team (SMT).

The role requires administrative and organisational skills, the ability to prioritise effectively whilst working to deadlines, a keen eye for detail and excellent communication skills. Experience with data and Microsoft Office, specifically Excel and Word are highly desirable, as is experience with minute taking, the production of reports and activities related to senior team administration.

Main duties of the job

To assist the team as the first line contact for the management of internal and external queries, with joint responsibility for the management of the day to day diaries of the Pathology Operations Manager and Associate Operations Manager for Pathology. To support the Pathology directorate by organising meetings and effective minute taking, by coordinating directorate meetings and by acting as a primary point of contact for the Pathology SMT.

Qualifications

Essential criteria
  • Educated to NVQ 4 level or equivalent qualification in a relevant subject or significant equivalent proven experience

Experience

Essential criteria
  • Experience of working in a busy office environment or reception service
  • Secretarial and administrative experience including minute taking
  • Experience of IT packages including Microsoft Word
  • Ability to research information and to work within policies, procedures and guidelines
  • Ability to produce accurate documents to a high standard
  • Experience of planning and organising meetings, including taking minute/meeting note/action points
Desirable criteria
  • Previous experience of working in NHS
  • Experience of dealing with difficult and challenging situations

Knowledge

Essential criteria
  • Understands the importance of confidentiality and data protection
  • Sound knowledge of office procedures
  • Understanding of customer service
  • Good working knowledge of Microsoft Office Packages
