An exciting opportunity has arisen for a  SCD (Special Care Dental Service) Admin Assistant to support the SCD Service within Dental HealthCare.  The SCD Service provides a referral based specialist service across Cambridgeshire & Suffolk.

Excellent communication skills are essential to enable you to respond professionally and with a proactive friendly can-do attitude; you will develop effective relationships with a wide range of staff and patients.  You must be able to prioritise your work, work independently and at times be flexible.

Main duties of the job

The duties of the SCD Admin Assistant will be to support a diversified, multifaceted service delivered in different locations.

Your role will primarily be to handle SCD calls, process referrals and liaise with patients and healthcare professionals on a regular basis.

You will need to possess excellent organisational skills and must have the ability to work unaided and under your own initiative without direct supervision.

The Dental Service provides a wide range of treatments to a diverse group of people.  You must possess excellent communication and people skills as some patients may present with complex/special needs.

Detailed job description and main responsibilities

To provide administrative support to the SCD Service and be able to work as part of a wider team of administration staff. 

To have excellent attention to detail due to the accuracy required for inputting patient information. 

Must be competent in the use of Microsoft Office applications including Word and Excel. 

Log and record all referrals received into the service on a daily basis using Excel. 

Deal with day-to-day queries using own initiative to resolve issues within guidelines. 

Accurately input and update data. 

Ability to work to deadlines and targets and able to work under pressure. 

Ability to prioritise and organise own workload in an efficient and accurate manner. 

Good organisational skills and able to pay particular attention to detail.

Handle enquiries from the general public, members of the dental and medical profession and other disciplines within the NHS. 

Liaise between the service and other departments within the Trust. 

Use initiative with regard to referrals received from General Dental Practitioners. 

Booking appointments, compiling referral letters and liaising with Dentists and other healthcare professionals ensuring all the appropriate information and notes are available. 

Maintain the clinic diary to ensure that all available surgery time is utilised appropriately across multiple clinics in Cambridgeshire & Suffolk. 

To attend and participate in all meetings as required.

Qualifications

Essential criteria
  • GCSE, English and maths grade C and above or equivalent qualification
Desirable criteria
  • Relevant admin qualification

Experience

Essential criteria
  • Post Holder must have a degree of experience in the field of Administration
  • Experience of answering telephone calls in a busy high volume call environment
Desirable criteria
  • Previous experience within the NHS
  • Knowledge of Dentally software

Knowledge and skills

Essential criteria
  • Good working knowledge of Microsoft Office applications
  • Excellent communication/interpersonal skills
  • Work flexibly as part of a team
  • Advanced keyboard skills, ability to communicate through IT systems using packages such as Word, outlook and excel
