Job overview

We are currently looking to recruit an enthusiastic and motivated administrator to join the Children and Adolescent Mental Health Service based in Huntingdon or Doddington to cover for maternity leave.

The successful candidate will need to be competent in typing, and formatting documents and will need to be organised and able to prioritise their workload.

You will also support other administrative staff where needed with printing, scanning and uploading documentation to our patient record system and other general administrative duties as required.

Main duties of the job

Carry out any office duties, such as dealing with post and photocopying; be responsible for document filing and ensure that the relevant records are organised, accessible and up to date.

Preparation for meetings, minuting and distribution and booking rooms as required.

Accurately input data onto SystmOne, our electronic patient record system, in a timely manner in line with standard operating procedures.

Create and maintain both manual and electronic health records for all active service users.

Typing reports and sending out forms. 

Reception cover as required.

Detailed job description and main responsibilities

Please refer to the attached job description and person specification for full details of responsibilities.

Be responsible for filing of all documentation in the clinical notes (if appropriate), in accordance with relevant procedures.

Be responsible for daily maintenance and organisation of the team environment.  Report concerns, incidents and maintenance issues to the relevant individual as required.

Provide cover as directed by your manager, for other members of the admin team in their absence and assist with their workloads as necessary.

Typing and formatting of letters, summaries and reports.

Ensuring good customer service by providing a professional and effective service by dealing with queries from service users, carers, or staff in person or on the telephone. Take accurate messages and ensure these are passed on to the appropriate members of staff.

Organise appointments and transport for clinics as required.

Education/Qualifications

Essential criteria
  • Educated to GCSE/GCE Standard
  • Good command of written English
  • RSA Stage II/NVQ Level 2 in Administration or Equivalent

Experience

Essential criteria
  • Experience of working in a busy and demanding office/customer facing environment.
  • Experience of supporting a multi-disciplinary team.
Desirable criteria
  • Previous experience of working in a NHS Office environment.
  • Experiencing in using computer programmes including health care IT Systems
  • Lived experience of mental health

Skills and Abilities

Essential criteria
  • Excellent standard of typing/audio skills.
  • Good IT skills (MS Office).
  • Excellent telephone manner
  • Ability to work on own initiative.
  • Professional attitude towards service users and their families
Desirable criteria
  • Knowledge of Data Protection Act.
