Job overview
We are currently looking to recruit an enthusiastic and motivated Administrator, to provide administrative support for the Personality Disorder Community Service (PDCS), Relational & Emotional Difficulties Service (REDS) and Psychological Skills Service (PSS) based in Peterborough.

Main duties of the job
The post holder will be required to provide a comprehensive administrative service supporting the existing team of administrators, as well as a range of clinical staff. Duties will include booking appointments for clinicians and dealing with patients over the telephone, processing referrals, maintaining waiting lists, typing of minutes, and formatting letters, as well as other general administrative duties.
We are looking for someone with strong administrative skills including good IT capabilities and knowledge of Microsoft Teams. You will also have excellent communication skills, including experience of dealing with difficult and sometimes upsetting calls and discussions. We have a large supportive team and require someone who has experience of working in a busy office / clinical setting.
Our team is based in Peterborough, but the post holder may be required to travel very occasionally to our other sites at Cambridge, Huntingdon and Wisbech.

- Typing of letters, summaries and reports, if appropriate.
- Ensuring good customer service by providing a professional and effective service by dealing with queries from professionals, service users, carers or staff in person or on the telephone.
- Take accurate messages and ensure these are passed on to the appropriate people.
- Organise appointments as directed.
- Carry out any office duties, such as dealing with post and photocopying; be responsible for document filing and ensure that the relevant records are organised, accessible and up to date.
- Monitor and maintain the departments admin stocks.
- Arrange meetings as and when required.
- Accurately input data onto the relevant electronic system, in a timely manner in line with standard operating procedures.
- Take calls from clients who may have self harmed or be in crisis.
- Minute multi-professional meetings which may have distressing content.
Person specification
Education / Qualifications
Essential criteria
- Educated to GCE/GCSE standard grade A - C in Maths and English
- Good command of written English
- RSA stage II/NVQ Level 2 in Administration or equivalent
Experience
Essential criteria
- Experience of working in a busy and demanding office/customer facing environment
- Experience of planning and organising own workload and of staff within own span of control
- Experience of supporting a multi-disciplinary team
Desirable criteria
- Previous experience of working in a NHS Office environment
- Experience in using computer programmes including health care IT systems
Skills & Abilities
