RCE Wellbeing Hub is a collaborative, educational learning environment which aims to convey messages of hope, control, and opportunity to all.

 The RCE Wellbeing Hub Administrator will be expected to deliver on the day to day administration including, but not exclusive to, student bookings, enquiries and course preparation.  

 

Main duties of the job

The role of the RCE Wellbeing Hub administrator is to support the waiting Well ADHD / ASD Pathway, ensuring students are booked onto, and supported to engage in the 6 week Wellbeing Discovery Programme. Provide effective administration support for the RCE and Peer Support Development  team.

Detailed job description and main responsibilities

  1. Action all students’ expressions of interest within 24 hours of receipt. This is currently supported by our online system MindRecoveryNet (MRN). 

  1. Create attendance lists in advance (at least 4 days in advance) and send Teams links for upcoming sessions ensuring students receive access to online courses in a timely manner. 

  1. Follow up attendance on sessions using our attendance processes and data spreadsheet ensuring accurate and timely action is taken. Non-attendees will need to be contacted online via email and also on the telephone on the day to be able to support access to students on waiting lists. 

  1. Take minutes in all aspects of service delivery including both RCE and Peer Support. 

  1. Promote positive understanding, awareness and attitudes towards mental health and wellbeing as part of day-to-day duties both within the team and outside. 

  1. Use data systems to contribute to the services reporting requirements e.g. End Of Year Reports, Monthly Service Reports, Team Meetings etc. 

  1. Support the ongoing use of social media platforms to promote the Hub. 

  1. Create meeting invitations for the Manager and Deputy Manager of the Hub and create student/tutor invites for the Peer Trainers. 

  1. Support the ongoing networking and promotion of the Hub by keeping MRN, RCE Webpage, staff and services up to date with upcoming courses/events of interest. 

  1. Support the creation of associated documents of all courses scheduled at RCE Wellbeing Hub. This may include printing, laminating and posting documents.

  2. Support prospective students to understand the function of the RCE Wellbeing Hub by offering informal phone calls/Teams meetings to explain what the Hub does and answer questions they may have.

Education/ Qualifications

Essential criteria
  • Educated to good GCSE standard in English
  • Good command of written and spoken English.

Experience

Essential criteria
  • Experience of working in a busy office/customer facing environment
  • Experience of planning and organising own workload and of staff within own span of control.
  • Minute taking for regular team meetings, weekly and monthly
Desirable criteria
  • Previous experience of working in an NHS office environment.

Skills and abilities

Essential criteria
  • Good IT skills (MS Office)
  • Excellent organisational skills.
  • Excellent telephone manner.
  • Ability to adopt an appropriate style and method of communication and deal effectively with people.
Desirable criteria
  • Knowledge of GDPR.

Physical Requirements

Essential criteria
  • Ability to spend prolonged periods using a computer
  • Occasional multi-tasking according to priorities.
