Performance and Rota Co-ordinator

Band 4

Job overview

We are seeking a highly professional and supportive individual to join our Pathology department. This position involves providing a comprehensive and confidential administrative and secretarial service, ensuring all tasks are prioritised and completed efficiently.

The successful candidate will be responsible for delivering a professional and supportive rota service. You will provide effective, confidential, and comprehensive administrative and secretarial support to the Pathology department. The role requires a high degree of organisation, diplomacy, tact, and sensitivity as you will manage documents of a highly confidential nature.

Acting as the first point of contact for all communication, both internal and external, you will handle all rota queries and create or produce performance reports. Your role will also include providing administrative support to the quality management system (QMS). Additionally, when required, you will offer senior medical secretarial and administrative support across the service unit, including assisting Pathology Consultants.

The ideal candidate will have strong organisational skills and excellent communication abilities. A high level of discretion and confidentiality is crucial, along with proficiency in handling sensitive documents. Experience in administrative support within a medical or pathology setting is advantageous.

Main duties of the job

You will manage and communicate rotas for pathology departments, coordinating with Departmental and Operational leads to ensure full service cover. As the main point of contact for Health Roster and rota issues, you'll implement rotas fairly and in compliance with regulations. Responsibilities include handling staff queries, supporting an auditable system for shift swaps and leave applications, and maintaining accurate records of absences and training. You'll also extract and present performance data monthly, monitor Q-Pulse duties, and perform administrative tasks related to the quality management system.

Working for our organisation

We are dedicated to fostering diversity and inclusivity within our workforce and warmly welcome applications from individuals of all backgrounds, with a particular emphasis on encouraging those from disabled, Black, Asian and Minority Ethnic (BAME) communities, as well as candidates from our local area.
