Digital Health and Care Wales is an ambitious organisation created by Welsh Government to lead on the digital transformation of health and care. It builds on the digital architecture and national services put in place by the NHS Wales Informatics Service over the past decade.
The organisation will lead on large-scale developments that make a significant difference to the people of Wales as well as to health and care professionals, such as expansion of the digital patient record and the creation of a National Data Resource. It will improve the way data is collected, shared and used. Please check your email account regularly. This new organisation builds on the digital architecture and national services put in place by the NHS Wales Informatics Service over the past decade and recognises the vital role of digital and data in modern care. By 2025, Digital Health and Care Wales aims to become an international exemplar for the digitisation of health and care.
This role is to provide a comprehensive, confidential administrative business support to the Primary Care Team; communicating and liaising with Directorates, Divisions, and Stakeholders to produce work to deadlines whilst ensuring compliance to organisational policies. This role is key to the effective running of the Primary Care Services Team.
This post is fixed term until 31 March 2026 to cover a secondment
Main duties of the job
Establish and maintain effective two way written and verbal communication with individual and groups of Stakeholders as directed by Line Manager.
Receive and process complex and sensitive information identifying who the most appropriate recipient should be and ensuring appropriate action is taken.
Manage deadlines and tasks effectively and provide information in a timely manner. Respond to Primary Care Stakeholder, where required. Provide comprehensive administrative support to the Primary Care Team ensuring communication is clear and concise between Directorates, Divisions and Stakeholders.
Set up and maintain internal and external distribution lists. Provide high level administrative support as required to the Primary Care Team. This will normally include the scheduling of meetings and facilities along with preparation and distribution of agendas and papers, and distribution of notes.
Take and transcribe minutes and points of note on request. Schedule appointments on behalf of internal, external and 3rd Party departments and companies.
This will require using own judgement using information available, providing analysis for interpretation and comparison. Create, manage, and maintain information systems to accurately record and report Primary Care activity; ensuring that information is appropriately and securely stored, in line with organisational policy.

It is essential that the successful applicant has the ability to drive and access a vehicle.
Although this post has been advertised as a fixed term appointment, NHS Wales employees will be offered the appointment as a secondment. If you wish to apply for a secondment, you must have the approval of your line manager before applying for the role. This position may be extended or made permanent at the end of the fixed term/secondment period depending on future funding.

Qualifications and/or Knowledge
Essential criteria
- Educated to A-level, diploma, or equivalent experience
- Commitment to continuing professional development for self
- Knowledge and understanding of NHS Working environment.
Desirable criteria
- Registered with a relevant informatics professional body
- Prince2 Foundation Certificate or demonstrable equivalent experience
- ITIL Foundation Certificate or demonstrable equivalent experience
- Knowledge of NHS Wales organisations & ITIL strategy
- Knowledge and understanding of the role of DHCW
Experience

- Proven record of administrative/finance skills.
- Communication with staff at all levels
