Job overview

An exciting opportunity has arisen for an enthusiastic individual to join the Specialist Palliative Care Team Team  within our Community Directorate Admin Services, in the role of Band 2, Receptionist/Clerical Officer.  You will be based at our Ty Bryngwyn Palliative Care site at Prince Philip Hospital in Llanelli  working 5 days per week, 9am to 15:45pm.

Main duties of the job

Deal with general enquiries, using initiative and judgement on necessary action to be taken.

Manage the room-booking diary for meeting/consulting rooms.

Data input onto excel documents and into WPAS.

Undertake typing for the team/Service as directed and or required.

Receive and record the whereabouts of the team concerning lone working and safety.

Meet and greet service users for clinics and or appointments as required.

Deal with enquiries from service users and their families/carers

Provide non clinical advice e.g. appointments.

Meet and greet staff and other agencies i.e. when arriving for team meetings etc.

Answer all incoming calls and refer to staff if unable to give appropriate replies.

Document and communicate all messages.

Exercise tact, diplomacy and confidentiality in dealing with staff and service users.

Receive, record and distribute all incoming external and internal mail.

Order stationery and other supplies/equipment using appropriate systems.

Report and record minor or major work orders to Estates and ensure that work is carried out.

To work within the agreed Health Board and Service Policy, procedures and guidelines.

Hywel Dda University Health Board is the planner and provider of NHS healthcare services for people in Carmarthenshire, Ceredigion, Pembrokeshire and its bordering counties. Our 11,000 members of staff provide primary, community, in-hospital, mental health and learning disabilities services for around 384,000 people across a quarter of the landmass of Wales. Highly specialised and tertiary services commissioned by the Welsh Health Specialised Services Committee, a joint committee representing seven health boards across Wales.
