Job overview

We are looking for a enthusiastic and self motivated team player to join our Appointments Team at Leighton Hospital.   

Based within the Medical Imaging Appointments Office, the successful applicant will play a pivotal role in ensuring excellence in the timely delivery of MRI examinations to our patients.

Working Hours are Monday to Friday 08:45 - 17:00.   The successful candidate will be required to join a rota to offer support on a Saturday morning 09:00-12:00 on a ad hoc basis as & when required.

Main duties of the job

ROLE OVERVIEW

  • To be responsible for providing a service for the scheduling of MR Radiology appointments  ensuring compliance with Trust & Directorate Guidelines / Protocols.
  • To communication with patients, consultants and staff at all levels and possess the ability to empathise with patients, relatives, etc. regarding procedure & appointments.
  • To be responsible for maintaining appointment list templates.
  • To proritise and self-supervise own workload and act independently.

Detailed job description and main responsibilities

MAIN TASKS & RESPONSIBILITIES

Information

  • To maintain a comprehensive radiological examination appointment system for the Trust by ensuring all appointment requests are accurately input onto the appropriate system in a timely manner, in line with Trust & Government Guidelines.
  • To undertake a comprehensive search of systems to cross reference patient examinations to ensure no duplicate requests are inputted and ensure patient demographic data is accurate.
  • Where appropriate, to ensure requests are verified by x-ray Consultants and Principal Radiographers prior to appointing and providing necessary information to facilitate this process.
  • Take action as necessary to ensure patient DNAs are recorded and dealt with in line with Trust protocols.
  • To assist in modifying examination preparation sheets as and when necessary.

Communication

  • Regular communication with GPs, Outpatients, etc. using written and verbal communication regarding servicing / breakdown of rooms etc., which will affect patient diagnosis.
  • Daily contact with senior diagnostic staff and consultants regarding staffing, room availability and urgent requests.
  • Regular liaison with relevant parties concerning appointing private patients.
  • Produce appointment letters in a timely manner enclosing the correct preparation sheet and medication required according to Radiologist and Department guidelines/protocols.
  • Formulate and type letters to GPs and Consultants regarding examination requests as and when required.

Planning

  • Taking responsibility for closing, blocking or rescheduling lists or specific appointment times in order to maintain session templates. 
  • Continually check all appointment slots are utilised to ensure efficient and effective use of Department resources.
  • Operate a comprehensive bring forward system for patients who are available for short notice appointments and outpatient follow-up appointments.

Additional Duties

  • Take part in the Personal Development Review process, identifying own training needs for continued personal development
  • Provide cover for sickness absence or annual leave as & when required across Radiology for Mid Cheshire Hospitals NHS Foundation Trust.
  • Undertake all administrative procedures pertaining to role which may on occasion include image transfer or reception duties.

Experience

Essential criteria
  • Previous Clerical &/or Customer Care experience.
Desirable criteria
  • Knowledge of Medical Terminology

Qualifications

Essential criteria
  • GCSE Maths & English Qualification
  • Demonstrable working experience (equivalent to NVQIII or above)
  • Demonstrable MS Office Skills
  • ECDL Qualification (or equivalent)
  • RSA II Typing (or equivalent)
Desirable criteria
  • Demonstrable working knowledge of MS Teams
  • Experience of using a CRIS System

Physical Demands
