Job overview

There is a fantastic opportunity for a Medical Education Administrator to join our team. This role will be mainly focused on supporting Postgraduate (Junior) Doctors and Medical Students, ensuring they receive an outstanding experience and receive training linked to their curriculums whilst on placement at Mid Cheshire Hospitals NHS Foundation Trust.

Main duties of the job

The post-holder will organise and co-ordinate a Medical Education training programme for Junior (Postgraduate) Doctors and/or Undergraduate Medical Students (medical education learners), based at Leighton Hospital, Mid Cheshire Hospitals NHS Foundation Trust. 

Key requirements of the post include:

  • Liaising with Programme Leads, Educational Supervisors and Clinical Skills Tutors, who deliver the training and facilitate placements/rotations to ensure the Minimum Standards of Education are met and curricula is fulfilled.
  • Ensuring that all databases and compliance information are maintained accurately and efficiently and available for the relevant Educational Leads to review when needed.
  • Supporting the Programme Leads and Senior Medical Education Team with administrative tasks and preparation of induction materials.

The Trust, which manages Leighton Hospital in Crewe, Victoria Infirmary in Northwich, and Elmhurst Intermediate Care Centre in Winsford, was established as an NHS Trust in April 1991 and became a Foundation Trust in April 2008.

Detailed job description and main responsibilities

Job Description:

•    To be the first point of contact for Medical Education Learners on hospital placements / rotations to offer support, advice and guidance and to answer any queries. To take the lead in all aspects of the administration that underpins an individual Medical Education Programme.

•    Organise and facilitate a comprehensive Teaching programme. Liaising with different groups of staff to ensure teaching programmes meet the curriculum requirements for Junior Doctors or universities’ Minimum Standards for education.

•    Organise and monitor educational activity for Medical Students by arranging hospital placements or confirming Junior Doctor rotations with clinical divisions. 

•    Production of registers and collation of attendance data for the teaching programme.  Liaison with Hospital Department Service Leads or Universities regarding absences.

•    Collation of evaluation and production of feedback summaries for the Teaching Programme.  

•    Preparation and organisation of induction programmes for Medical Education Leaners who start their clinical placements / rotations at the Trust.

•    Liaison with the Regional Schools, Lead Employer, Universities and Medical Resourcing to answer queries regarding Medical Education Programmes.

•    Use of Trust, University and School IT system/ePortfolios to input Medical Education Learner data and timetables accurately and efficiently.

•    Maintain and update databases.

•    Maintain records of attendance and assessments, ensuring appropriate information is available on request and any outstanding assessments are chased.

•    Offer administration support to the Senior Medical Education staff and Education Fellows as appropriate. 

•    Room set up as required within the Postgraduate Medical Centre and use of AVA equipment including the loading of presentations and use of projectors.

•    Work as part of a team with the other Medical Education Administrators to ensure administration and facilitation of all Medical Education Learner Programmes are covered, answering telephone and email queries and correspondence regarding medical education.

•    General office duties relating to all areas of medical education.

•    To be able to work on own initiative, and to undertake ad hoc projects as required, including any follow up action arising out of the above.

Person Spec;

  • NVQ Level 3 qualification or equivalent.
  • GCSE Maths and English (grade C or above), or equivalent qualifications.
  • Proficient in computer skills including Microsoft Office.
