The duties of the post holder include booking patients into clinics and making follow up appointments as well as the accurate coding of Outpatient procedures, and ensuring all outcomes and DNAs are recorded in a timely manner. The post holder will provide a full and comprehensive reception service to Outpatient clinic areas across hospital sites and community locations.

Reception cover on a busy main Out-patient desk. You will be dealing with the public in a face to face setting. Booking patients into clinics using the hospital system. Making follow up appointments using Outcome system. 

You will be excepted to work across both sites Warrington, Halton and community services.

Warrington Hospital is home to our emergency, critical care and maternity services, Halton Hospital is focused on elective procedures and the Runcorn Urgent Treatment Centre, although many services are offered at both sites and in community hubs.

  1. Adhere to department guidelines for booking in/out appointments using hospital systems.
  2. Cancellation and rescheduling of appointments if required.
  3. Input coding procedures when necessary.
  4. Adhere to Trust policy in identifying DNAs and notifications to relevant referrers.
  5. Adhere to Trust Health and Safety policy in the use of office and IT equipment.
  6. Willingness to gain knowledge of other hospital systems if required.
  7. Ensure patient demographic data is updated as necessary in case-notes and on hospital systems.
  8. Track case notes as per Trust policies.
  9. Provide a full and comprehensive reception service to Outpatient clinics across hospital sites and community locations whose hours of operation are varying between 8.00am and 8.00pm. This can include weekends and bank holidays as per the needs of the service. This will include direct patient contact and dealing with telephone enquiries.
  10. Exchange information with Medical Records regarding missing patient records and the Appointments and Admissions staff both verbally and in a written format.
  11. Attend relevant training courses and complete e-learning packages.
  12. Provide relevant information to patients regarding forthcoming appointments.
  13. Ensure patients are booked onto the correct clinic codes.
  14. To provide the first point of contact for all patients attending Outpatient clinics, which includes dealing with emotional and distressed patients.
  15. Liaise with internal and external providers on behalf of staff and patients.
  16. The ability to communicate with people from differing backgrounds.
  17. Mentor new starters and help with training.
