Job overview

To provide the necessary administrative support to enable the efficient and effective functioning of the ever expanding CYPEDS. This includes:

·        Supervision and appraisal of medical secretaries, admin and clerical staff within the team

        Provide full administrative support for the CYPEDS team manager

        Provide a consistent effective service to the members of the public and team members in the context of a diverse and varying workload

        Ensuring there is adequate admin and clerical resource and cover

Main duties of the job

Supervision of the medical secretaries, senior and junior administrators within the team. 

Ability to regularly travel to the different sites CYPEDS work from (6a Heathlands, Liskeard, Truro Health Park, Newquay Integrated Health Hub), in order to support the team, the service leads and the administration team. 

Lead on auditing and reporting for the service in line with manager requirements. 

Oversee and organise cover for annual leave within the admin team, to ensure a consistent high quality service for patients and families. 

Linking with and supporting the other administrator leads within wider CAMHS to ensure equity of service provision. 

Being creative in reviewing administration processes within CYPEDS, ensuring we are working in an effective, efficient and accessible manner.

We’re an NHS community and mental health provider Trust based in Cornwall and the Isles of Scilly.  We deliver community and hospital-based care to improve people’s physical and mental health.  We also provide specialist support to people with dementia or a learning disability.

Education/Qualifications and Relevant Experience

Essential criteria
  • RSA III word processing and RSA II audio typing or equivalent.
  • GCSE English and Maths
  • NVQ 4 in Administration or equivalent experience
  • Substantial experience working in an office environment with secretarial experience including reception duties
  • Ability to/experience of dealing with petty cash
  • Previous experience of working within a supervisory role
Desirable criteria
  • NVQ 3 in Supervisory Management
  • Experience of working within a Health or Social care setting

Skills and Aptitude

Essential criteria
  • Effective time management and the ability to prioritise work for self and others
  • Excellent organisational and inter-personal skills
  • Ability to communicate well with clients, colleagues and the public.
  • Excellent IT skills, specifically with Excel
  • Ability to work calmly under pressure, on own initiative without supervision.
Desirable criteria
  • Knowledge of Trust’s standing financial instructions and policies and procedures.
