Job overview
The role of the CAL is to support the Service Managers with performance management of waiting lists, demand and capacity, cancer targets and be responsible for data quality within the specialty areas. The CAL will manage the Clinical Administration Team for both Peri-operative medicine (POM) and the Pain Service. Day to day line management and professional supervision to defined booking and administrative teams will be required, ensuring best practice and adherence to Trust policies and procedures is maintained at all times

Main duties of the job
Responsibility for quality and delivery targets paying particular attention to:
(i) Waiting list numbers and referrals
(ii) POA Promise and dashboard metrics
(iii) Short notice requests
(iv) Time of appointments prior to TCI’s
(v) Demand and Capacity
(vi) RTT position
(vii) Long waiting patients
(viii) Follow up pending lists
Initiate remedial actions within your remit and escalating any significant issues to the Service Managers as necessary to ensure continued service and target delivery.
Quality Waiting list management:
Responsibility for ensuring information on hospital waiting lists is maintained in line with Trust Policy to include:
· All Active Waiting Lists
· Additions to waiting list
· Planned/Suspended Lists
· Pre-assessment clinics
Ensure that booking maintains compliance for clinical activity in line with NHS waiting times
i.e. RTT pathway and subsequent targets

Detailed job description and main responsibilities
1. People Management
Ø Provide day-to-day management of the booking and administration team ensuring that workflow and output is managed to meet Trust targets, escalating poor performance to the Lead Nurse or Service Manager.
Ø Participate with HR and appropriate Manager in sickness absence management meetings with staff whose attendance give cause for concern
Ø Participate in the recruitment, selection and induction process of new staff in line with Trust Policy, including local induction into the relevant department
Ø Responsible for ensuring that all team members receive mandatory training
Ø Devise and manage holiday rotas across the team ensuring acceptable levels of cover during planned periods of absence
2. Resource Management
Ø Responsible for ensuring that the booking team is maintaining compliance for clinical activity in line with NHS waiting times i.e. RTT pathway and subsequent targets
Ø Maintain appropriate records of patient outcomes
3. Communication
Ø Be a role model demonstrating good communication and ensuring robust and open communication with the administrative teams
Ø Provide up-to-date information to staff available from the Trust Board and Chief Executive Team Brief
Ø Attend meetings with the Service Manager
4. System Utilisation
Ø Develop robust knowledge and understanding of both Trust and National Access Targets in particular the RTT pathways for clinical services.
Ø Develop and maintain expert knowledge and use of Trust IT Systems e.g. PAS, Nervecentre, RADAR and other specialist systems in use in clinical areas
Ø Actively participate in the review of working practices to improve efficiency.

Essential criteria
- Significant NHS experience in a booking/secretarial/waiting list/management role.
- Experience of Staff Supervision
- Knowledge of Medical Terminology
Desirable criteria
- Experience of working in an Acute NHS Service Provider
Qualifications
Essential criteria
- Educated to GCSE in English Language and Maths Grade A to C or equivalent
- NVQ4 or AMSPAR Medical Secretary Diploma or equivalent
- Good standard of general education.
Desirable criteria
- Working towards management qualification
