Job overview

We are looking to appoint a cheerful and motivated person to work within the busy Outpatient Booking Services, managing outpatient appointments in a call centre environment.

The Outpatient Booking Services provides a focal point for outpatient appointments across the Trust and is responsible for the management of both new and follow up outpatient appointments.  It is a very busy and demanding area to work, working in a call centre environment. The offices are open between 8.30am and 4.30pm. 

The Appointment Administrator will be responsible for the management of outpatient referrals. You will need to be able to work in a calm, logical and methodical way but be able to multi-task whilst dealing with frequent interruptions, whilst always maintaining patient confidentiality. 

You must be confident, diplomatic and able to work in a busy call centre environment with a pleasant and caring disposition. You will be required to have a good level of education and have some experience and knowledge of the NHS and ideally experienced in the use of the Outpatient Module of the Patient Administration System, e-Referrals, Maxims and Microsoft Word.

This role is based in Pydar House, Truro.

Main duties of the job

To provide a quality outpatient appointment service for all patients. The post-holder will be responsible for ensuring that both new referrals and follow up appointments are processed in a timely, efficient, and accurate manner and that clinics are booked in line with service requirements and national guidelines.

To ensure accurate data recording with regard to outpatient appointments using the Patient Administration System (PAS), e-Referrals, Maxims and other systems. This will also include the provision of administration support to the wider Outpatient Booking Services Team.

The Appointment Administrator will be responsible for the management of outpatient referrals. You will need to be able to work in a calm, logical and methodical way but be able to multi-task whilst dealing with frequent interruptions, whilst always maintaining patient confidentiality.  You must be confident, diplomatic and able to work in a busy call centre environment with a pleasant and caring disposition.

You will be required to have a good level of education and have some experience and knowledge of  Microsoft applications.


Reliability and ability to work under pressure whilst maintaining accuracy and precision is of extreme importance.


This post is working full time 37.5 hours per week – Monday to Friday 8.30am to 4.30om from Pydar House in Truro.

Essential criteria
  • 5x GCSE’s including English and Maths or equivalent at grade C or above
Desirable criteria
  • NVQ Administration level 2/3 or equivalent

Experience

Essential criteria
  • Substantive experience in customer services
  • Experience of working with the public
  • Experience of data collection and data entry
Desirable criteria
  • Previous experience and knowledge of NHS
  • Experience using E-referrals, Administration systems, Microsoft Word and Excel
  • Knowledge of Referral to Treatment
  • Experience of working in a Call Centre
