Legal Services Administration Assistant

The Trust is looking for a Legal Services Administration Assistant to work within its Legal Services Department.

This is a fantastic opportunity for the right candidate to join a small but very productive and friendly team providing a vital service within the Trust.

The Trust's Legal Services Department provides an internal advice and support service to all Trust staff in the management of Coroner’s inquests, clinical and non-clinical claims, requests for evidence, Court of Protection applications, safeguarding concerns and any ad-hoc legal matters.

As an Administration Assistant, working with a level of supervision, the right candidate will undertake a range of administrative and reception duties, maintaining administrative systems and records to enable the team to deliver an effective legal service and to ensure that the office environment is safe, appropriately maintained and equipped.

Service delivery improvement work is currently a focus within the Legal Services Department, offering variety and development opportunities for those seeking a new challenge.

Prif ddyletswyddau'r swydd

Provide administrative support services to the Legal Team, to include, but not limited to:

  • Acting as the first point of contact for all telephone and departmental enquiries i.e. reception duties
  • Taking and relaying messages promptly and accurately
  • Processing inbound and outbound mail (including management of the team's inbox)
  • Identifying, obtaining, tracking, paginating, scanning and safe storage of patient records
  • Extracting electronic patient records
  • Setting up new case files on Trust systems and maintaining existing files
  • Ordering stock and stock control
  • Chasing statements and other reports
  • Arranging meetings, booking venues, notifying attendees, disseminating all relevant documentation and minute taking
  • Data entry
  • Any other relevant duties as required by the Team/Legal Services Managers.
  • Effective team working, fostering positive and effective relationships with colleagues
  • Regular use of IT software applications and Trust corporate and clinical systems

On 28 November 2020, the new Disclosure and Barring Service filtering rules will come into effect.

The changes mean that:

  • Youth cautions, reprimands and final warnings will no longer be subject to automatic disclosure
  • The multiple conviction rule has been removed, meaning that if an individual has more than one conviction, regardless of offence type or time passed, each conviction will be considered against the remaining rules individually, rather than being automatically disclosed

The Trust is committed to safeguarding adults and children therefore if the post is subject to the Rehabilitation of Offenders Act (ROA) 1974 (Exceptions) Order 1975 (as amended) the successful candidate(s) will be subject to a criminal records check with the Disclosure and Barring Service (DBS).  The cost of the DBS must be met by the successful candidate(s) through salary deduction. DBS charges are as follows if applicable to the post:

Standard Check: £18 + Administration cost of £3.85 = £21.85. Deducted at £6.85 from 1st month salary and £5 deducted from salary over following 3 months.

Enhanced Check: £38 + administration cost of £3.90 = £41.90. Deducted at £11.90 from 1st month salary and £10 deducted from salary over following 3 months.
