The post holder is required to provide clerical support ensuring that the professional and caring image of the department is maintained at all times.  The post will involve patient contact both directly via the busy reception desk and over the telephone and a range of clerical duties intended to ensure the smooth and efficient operation of the departmental systems.

Provide a range of administrative and clerical duties to support the Audiology department, including but not limited to: dealing with patient enquiries both by telephone and face to face, checking patients in on arrival at the department and booking, scheduling or cancelling appointments as necessary. 

Maintains records in relation to administration carried out.

1.    To undertake a variety of administrative tasks, including:

·         To receive and deal with telephone calls in a professional manner take messages and accurately relay the messages (written or verbal) as appropriate.  Transfer calls as required.

·         Input clinical data using the hospital Meditech System, ensuring all data is entered accurately and to deadlines.

·         Use Auditbase (Audiology computer system) for making/cancelling appointments, booking in patients, and typing journals as appropriate.

·         To communicate with and receive all visitors attending the Audiology clinics in a courteous manner, checking personal details at each visit and amending patient demographic information as required.

·         Undertake such other duties as may be required from time to time which are relevant to the role and appropriate to the band

 

2.    Prepare the Department Of Audiology appointment letters, inviting patients to attend for diagnostic and rehabilitive appointments.

 

3.    Provide comprehensive administrative and secretarial service for the Audiology department and compose and type correspondence for all Audiology Staff on Meditech/ Microsoft Word, and Microsoft PowerPoint, also create and maintain relevant filing systems, photo-copying etc.

 

4.    Operate a dispatch system for individual earmould manufacture and on receipt instigate relevant action for Hearing Aid provision.

 

5.    Provide administrative support which may include referral letters, creating proformas and templates.

 

6.    Process and re-direct referrals on the NHS E Referral System and populate Audiology combined clinics on Meditech.

 

7.    Receive daily incoming telephone calls from staff reporting sickness, complete the relevant sickness form and notify the appropriate member of staff/department.  Also, cancelling patients as appropriate.

 

8.    To receive and sort incoming mail, including hearing aid batteries, and ensure mail is placed in the correct areas for staff to collect.

 

9.    To process invoices for lost hearing aids.

 

10.  To carry out general clerical duties, to include, filing, scanning, laminating, binding and photocopying as required.

 

11.  To attend departmental staff meetings.
