Job overview

An exciting opportunity has arisen within our Cardio Respiratory/Chest pain unit at Queens Hospital, Burton.  This is an excellent opportunity for the right candidate with the knowledge and experience to lead and manage the units clinical administration receptionist and booking processes. 

Working with a team of receptionist administrators there will be a requirement for you to work closely with our management team to ensure the smooth running of the diagnostic  process within the department, working flexibly to provide an efficient Admin service to alongside consultants, nurse & consultant teams in respect of their NHS work.  

You will provide a professional and comprehensive Administration Service in departmental areas across the unit ensuring the effectiveness of all communications and organisational systems at all times.
Responsible for the operational management of the administration processes and functions of the team & Day to day management of administration staff.

Main duties of the job

  • An understanding of the 18-week RTT ,  Inter Provider Treatment process, a knowledge of the Trust Patient Access Policy and an agreement to adhered to these policies according to National Trust Guidelines.
  • To act as the central point of contact for the administration service, providing a high standard of administrative support in own departmental area
  • Responsible for effective communication across all boundaries using negotiation and persuasion skills to ensure the delivery of a comprehensive Administration service.
  • Day to day management of the administration team incorporating efficient planning and daily organisation of the team
  • Undertake general administration duties in respect of own department requirements I.e. diary/rota management and organising associated activities/paperwork 
  • Plan and implement a work schedule, to ensure an efficient and timely output within all areas of responsibility.
  • Awareness and understanding of sensitive information, ensuring strict confidentiality at all times.
  • Co-ordinate the timely delivery of regular and ad hoc, data / information requested by the management team, producing reports as required.
  • Act as a liaison between the management teams and functions across the Trust.
  • To provide a comprehensive administration and IT support, using a range of IT applications to monitor, prepare and validate databases as appropriate producing accurate operational reports as appropriate for the departmen

Knowledge and qualifications

Essential criteria
  • A good standard of English to A Level and RSA III / OCR qualification or equivalent NVQ III in Business Admin or relevant administration experience
  • Advanced level of IT literacy with experience of using a range of IT applications
  • Minimum 2–3 years’ experience working in a similar administrative role
  • Experience or Knowledge of the RTT (Referral to Treatment) waiting list procedure in accordance to local and national targets and the Trust Patient Access Policy
  • Ability to work independently or as part of a team
  • Able to prioritise work and escalate problems
  • Speed and accuracy for inputting data onto databases, spreadsheets.
Desirable criteria
  • Day to Day management of a group of staff including first level for responsibility for HR functions
