Here’s more about the role and what we’re looking for;

Maintains quality and content of complex and sensitive data held within information systems to support and junior doctors’ exception reporting, e.g. electronic web-based systems, IT databases i.e. Excel

Supports complex analytical work of the business area (Medical Workforce office)
Inputs and processes information in accordance with procedures, maintaining accuracy at all times
Extracts, manipulates and updates complex data in accordance with procedures to prepare reports using graphs, data and pictorial information, and make comparisons for audit purposes
Responds to enquiries from internal and external customers and data providers, e.g. non-training grade doctors, junior doctors, medical management, NHS England, System provider/s, etc.
Provides an efficient administration support to the Medical Workforce Manager

To ensure that the information received from other departments is accurate, timely and follows appropriate guidance.

 To ensure the management of electronic / IT systems is efficient and effective, highlighting risks / issues to relevant stakeholders in a timely manner.

Utilise appropriate systems and tools for the collection and analysis of complex data and assist in the compiling of reports drawing information from a variety of sources ensuring validation and accuracy for benchmarking etc.

Contribute towards the development of reporting tools and systems for data collection e.g. Excel spreadsheets, to inform the Medical Workforce Manager and team, of performance with regards to exceptions progress.

Contribute towards changes in practice and offer suggestions for improving services and processes and pass on to line manager and team. 

Communicate with a variety of people on a range of matters including providing advice, support and guidance as appropriate, and keep accurate and complete records consistent with the Trust’s policies and procedures.

Liaise with and provide accurate information to senior management, medical staffing and other colleagues in accordance with the local and national targets and in line with Trust policy and procedures, i.e. Junior Doctor Contract, GMC and NHS England etc.

  • Deal with complex information that may require clarification / instruction in a clear, concise and unambiguous way, in a format that is easy to understand
  • Have specific knowledge of the 2016 TCS for Doctors in Training
  • Articulate with good negotiation and conflict management skills.
  • Required to deal with sensitive data, and maintain a high level of confidentiality at all times.
  • Engage with colleagues at all levels with the ability to liaise and develop effective relationships internally and externally to the Trust.

Knowledge, training and experience

  • A good standard of English to O-level/GCSE (A-C grade) or equivalent and the ability to demonstrate both excellent written and verbal communication skills
  • Experience working with data manipulation and analysis or a similar experience; e.g. inputting, extracting, reporting etc.
  • Experience or qualification of working with electronic web-based systems to support data input and analysis.
  • Advanced level of IT literacy with experience of using a range of IT applications to manipulate and analyse data using various tools and techniques such as queries, macros, functions and pivot charts. To ECDL / NVQ level III or equivalent
  • Practical experience of data collection, validation, analysis and presenting information.
  • Understanding of relevant national medical workforce agenda, DH directives, policies and guidelines
  • Ability to work under pressure and meet strict deadlines/timescales.
  • Have specific knowledge of the 2016 TCS for Doctors in Training

Analytical and judgemental skills
