Job overview

An exciting opportunity has arisen for an enthusiastic individual to join the system PMO team.

The post holder will be a motivated team player with excellent communication skills both verbally and written, along with exceptional problem solving and advanced organisational skills.

The post holder will be required to work independently using high level of initiative to manage and prioritise a busy workload independently without direct supervision.

You will have a broad range of administrative skills including:

  • Knowledge and understanding of a range of secretarial or administrative procedures
  • Ability to work independently and as part of a team
  • Experience of using IT systems such as Outlook, Excel, Lorenzo and ORMIS
  • Excellent organisational skills

Main duties of the job

Manages the administration support to the to the Programme Director, Provider Collaborative, the Director of System PMO and Improvement and the System PMO Transformation and Improvement Partner to facilitate the smooth running of the service.

Liaise effectively with all JUCD system partners ensuring that all queries are answered with skill, sensitivity and in a courteous and professional manner.

Efficient management of diaries of the JUCD PMO Transformation and Improvement team.

Typing correspondence, responses, presentations, and reports to support the PMO team using own initiative and judgement whilst ensuring accurate and timely despatch to relevant others.

Agenda preparation for system meetings and minute taking ensuring that typing and despatch of meeting minutes, and action logs are undertaken to agreed timescales and quality standards.

Leads on ensuring that face to face meetings have an appropriate venue, facilities and catering suitable for the purpose of the meetings as needed taking regard of costs, travelling and other resources.

Ensures all mandatory training is up to date and undertakes relevant training when required.
