Job overview

An opportunity has arisen for a Band 2 Ward Clerk/Receptionist to work at  Brixham Hospital. There are various working hours per week.

The successful candidate will need to have a flexible approach, working on a rota basis covering the service 7 days per week including Bank holidays.

We are a small team and promote shared governance within decision making to improve service for patients and for staff. We embrace innovation and technology to help us to achieve the goals of our patients and for our colleagues. The successful applicant will need to be a competent and confident individual. Flexibility is essential as you will form a key part of the admin support team within Brixham Hospital as well as working collaboration with our colleagues at Paignton Health & Wellbeing Centre. We will offer comprehensive induction and training to ease you into the role.

There will be an expectation for this role to work across both Brixham Hospital and Paignton Health & Wellbeing centre.

Main duties of the job

We are looking for someone with a 'can do' attitude and can demonstrate the following skills:

  • High level organisational and administrative skills.
  • Ability to work on own initiate and as part of a team with skills to develop collaborative working.
  • Ability to prioritise and manage their own workload.
  • Excellent communication skills, both written and verbal.
  • Sound knowledge of Microsoft applications and Teams
  • Dealing with confidential and sensitive information.
  • Willingness to learn.
  • Knowledge of NHS systems such as IHCS & PACS.

Detailed job description and main responsibilities

Communication and Working Relationships

  • To ensure patients and visitors are treated with courtesy, dignity and respect
  • The position requires empathy and tact when dealing with people who may be upset or angry.
  • To ensure a good relationship is maintained across all departments throughout the hospital and an ability to communicate with all members of the multi-disciplinary team
  • To deal with enquires, including telephone enquiries, in conjunction with and under the direction of nursing staff
  • Liaise with appropriate appointments, transport etc. in arranging outpatient appointments under the direction of medical and nursing staff

Planning and Organisation

  • To provide reception service for all patients and visitors to the ward & outpatient department including sickness and annual leave cover. Some flexibility required.
  • This includes filing in hospital notes and filing of notes
  • Ensure that the patient hospital computer systems are kept up to date.
  • To ensure patient/admission/clinic appointments and outcomes and transfer details are accurate and up to date on the PAS computer system.
  • Support the ward and clinical staff in a range of administration tasks.
  • To ensure that all Discharge Summaries are completed and sent out in line with Trust policy.
  • Excellent organisational skills required

Working Relationships

  • Allied Health Professions
  • Management Team
  • Patients/Relatives/Carers

Confidentiality

  • The post holder’s work will bring them into contact with matters of a confidential nature, particularly information relating to the diagnosis and/or treatment of patient’s individual staff records, information regarding contracts, tenders etc. may not be divulged without the authority to do so, disciplinary action will be taken for any breach of confidentiality

 Policy and Service Responsibility

  • To be aware of and update knowledge of Hospital Polices and Procedures from the Trust intranet.

 Responsibility for Finance, Equipment and Other Resources 

  • No financial responsibility but an awareness of the cost of resources and the responsibly use of resources.

Responsibility for Supervision, Leadership and Management 

  • To help train & support others.

Information Technology and Administrative Duties 

  • Ensure that all patient records and investigation results are available when required by the nursing and medical staff.
  • Liaise with other departments and wards re elective beds and patient management as required.
  • Book hospital transport on ICON.
  • Use several of the Trust I.T. Systems including Cyberlab, Infoflex, IHCS & Vitalpacs.
  • Request routine maintenance for estates via Backtrac.
  • Ordering of stationery and supplies on UNIT4.

Person specification

Experience

Essential criteria
  • Experience in similair clerical role
  • 4 GCSE's or equivalent level of education
  • To be able to work efficiently both alone or as part of a team
  • To be able to prioritise and organise own workload
  • To be able to communicate/interact effectively daily with patients, visitors and hospital staff both over the telephone and on a one-to-one basis
  • Knowledge of PAS/IHCS
  • Customer care skills
Desirable criteria
  • ECDL or Equivalent
  • Knowledge of medical records
  • Experience in using UNIT4 ordering system
  • Experience using IHCS
