Admin and PTL support secretary Cellular Pathology

To provide a comprehensive and effective administration and clerical service to the Cellular Pathology management team including, but not exclusive to, Patient Target List (PTL), Waiting List Initiative (WLI) and outsourcing.
There will be opportunities to support other areas of the department as the role develops and under the guidance of the Navigator or Medical Secretary team. There are areas such as Molecular and Oncotype that this role will also support.
Flexible working will always be considered and there will be an ask to work until 8pm in the future as the department goes through changes.
***Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.***

The key responsibility of this role is to work as part of a professional multi-skilled team within Cellular and Anatomical Pathology. Carrying out the duties of the appointed area and providing direct support to the PTL Coordinator and the management team. Provide cover for the PTL navigator when they are unavailable.
Support the Molecular service, providing support in the writing of reports and providing support for the oncotype service.

1. Responsible for the administration of PTL and WLI information ensuring that lists and databases are current and accurate.
2. Support the process of outsourcing including packing and sending out slides, blocks, and specimens, and booking authorised cases back on to the Laboratory Information Management System (LIMS).
3. Manage own workload without supervision but must have the ability to work as part of a team.
4. Ensure timely responses to incoming correspondence relating to PTL, WLI, Outsourcing and 2 week wait (2WW) cases.
5. To coordinate and arrange meetings for Cellular Pathology and with external organisations where appropriate. Invite people to attend, book venues, prepare agendas, take, and transcribe minutes of the meetings. Distribute minutes to internal and external agencies as required.
6. Undertake invoicing for Cellular and Anatomical Pathology ensuring these are sent out in an appropriate time frame and provide support for the Pathology team as necessary.
7. Communicate with NHS suppliers in relation to ordering queries.
8. Use the Trust’s electronic ordering system to generate requisitions.
9. As requested, provide monthly reports on information i.e. PTL. WLI, outsourcing and 2WW Cellular and Anatomical Pathology management team.
10. Participate in annual appraisal and achieve any targets set at this time
11. Organise training when required.

- Demonstrable experience working in an administration within a large clinical setting
- Demonstrable experience working in an appropriate administrative support teams.

Qualifications

- GCSEs (or equivalent) including English and Maths Graded 9-4 (A-C) or equivalent of demonstrable experience.

- Have or working towards an NVQ Level 03 in Administration
