An opportunity has arisen to join the Trust’s busy Outpatient Reception team working across our Torbay hospital site.
The working days are Thursday and Friday, with the hours varying between 08:00-17:00 (7.5hr shifts)
We are looking for a friendly, customer service focused individual who shares our core Trust values.
The ideal post holder will have previous reception/admin experience and be able to provide a high standard of customer service, as they will be representing the Trust as first point of contact with our patients.
They will be organised and able to work in a busy environment with excellent communication skills as the role will involve contact with patients, clinical and administrative staff.

Main duties of the job
- Checking patients in for Outpatient appointments
- Booking, cancelling and rearranging Outpatient appointments
- Management of notes (tracering, requesting, etc.)
- Setting up of clinics for day
- Associated administration tasks (completing outcomes, etc.)
- Taking inbound calls
- Maintaining a high standard of customer service
- Use of hospital systems to effectively support the management of the patient journey
- Managing spreadsheets as required
- Liaising with colleagues at all levels to ensure the patient journey is smooth
- To work in accordance with the Trust policies at all times
Working for our organisation
The Outpatient reception team covers seven busy reception areas within Torbay Hospital; Main Outpatients Reception, Eye Clinic Reception, Fracture Clinic Reception, MAAT Reception, Paediatrics Reception and Crow Thorne Reception.
The team is comprised of 15 staff that provide reception services for a multitude of different specialties across Outpatients.

Qualifications and Training
Essential criteria
- 4 GCSE A - C to include Maths and English or equivalent
Desirable criteria
- Knowlege of IHCS/PAS
Knowledge and Skills
Essential criteria
- Experience in a face to face customer service role
- Experience in an administration/clerical role
- Experience in a healthcare/hospital setting
- Experience of working with computers
- Experience working with emails, spreadsheets and Microsoft packages
Desirable criteria
- Previous NHS experience

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
