Job overview

  • To manage IT systems and provide processes and data analysis to support the complex work of the Infection Prevention & Control Department, providing support and leadership to the administration support worker
  • To provide high quality administration support to the IPC nurses and Director of Infection Prevention and Control, using own initiative and working without supervision
  • To work with the Lead Nurse and Director of Infection Prevention and Control to improve and enhance the efficiency of the infection prevention and control team
  • To contribute to the quality of patient care by ensuring effective communication between the Infection Prevention & Control Team and the rest of the Trust

Main duties of the job

  • Provide administration support to the IP&C team, dealing with the day to day correspondence within the team and externally by taking messages or forwarding emails in a timely way
  • To communicate with staff, external organisations and colleagues in a courteous, professional timely manner
  • Organise meetings for the IP&C team and take minutes – this is often at very short notice
  • Be able to provide up to date figures with regard to alert organisims for the trust and produce data for the board monthly
  • Be able to use a number of IT programmes to a high standard and also provide support the IP&C staff with the IT programmes
  • Produce complex data reports using a variety of systems to support the audit process in the IP&C team

Infection Prevention and Control is a team of clinical and A&C staff whose main role is to proactively prevent infections in the public, patients and staff through education, audit, surveillance and other methods across our integrated care organisation and care homes.  

Detailed job description and main responsibilities

 

 Communication and working relationships

  • Provide an appropriate personal response which will frequently be of a complex nature i.e. not simply a matter of choosing from a range of straightforward responses, and recognise when referral to a clinical nurse specialist is appropriate.

Planning and organisation

  • Responsible for the co-ordination of updating policies across the trust
  • Requirement to frequently re-prioritise workload to suit the needs of the service, re-adjusting plans as necessary; this will also involve the re-allocation of work to the Administration Support. Reorganisation of working practices
  • To plan and ensure that all new staff undergo an effective induction programme and book in external visits they require
  • Co-ordinate annual and study leave requests for the team in order to ensure continuity of service
  • Organise a range of meetings, book venues, produce agendas and take minutes for all the IP&C nurses and the DIPC
  • Organise annual audit dates, then produce data with the information gained by the IP&C team
  • To undertake project work as required by the Lead Nurse/DIPC

Responsibility for patient and client care

  • This role will have contact with patients, carers or relatives, providing non-clinical advice, e.g. conversations over the phone, face to face, directing patients to the correct areas

Responsibility for supervision, leadership and management

  • Line management of the Administration Support, undertake HR duties such as recruitment, sickness, absences, appraisals and work allocation
  • Delegation of day to day work load of the Infection Prevention & Control team to ensure the workload is equally distributed
  • To provide developmental training opportunities for administration and clerical staff member
  • Responsible for reporting health and safety issues to Lead Nurse
  • Responsible for ensuring staff in IPC assess their work stations
  • Line manage A&C staff with regard to sickness, HR, absences and work allocation

Information technology and administrative duties

  • Responsible for the provision of an efficient administrative service to the Infection Prevention & Control team in order to ensure a high-quality delivery of the services
  • To produce detailed reports which will include complex data analysis
  • Undertake the pay roll return for the whole department
  • Undertake full range of secretarial duties for the IP&C team and Director of Infection Prevention and Control (DIPC) including diary management
  • Act as secretary to the decontamination assurance group and the infection prevention and control group
  • Administrator on ICON for the Infection Prevention & Control Team. Manage and maintain infection prevention and control page on ICON to ensure it is up to date and user friendly
  • Develop, maintain and monitor databases for in- house audit and surveillance purposes producing reports using Excel

Responsibility for finance, equipment and other resources

  • Be responsible for purchasing equipment and stationary supplies on the TSDFT systems, ensuring the IP&C team is adequately stocked
  • Assist the Lead Nurse in the economical use of resources

Policy and service development

  • Responsible for the co-ordination of updating policies across the trust
  • Proposes changes to operating practice within the department
  • Manage infection prevention and control resources to ensure they are up to date with current government guidance (Policy monitoring)

Responsibility and accountability

  • Participate in annual Personal Development Review
  • Keep knowledge and skills up to date specifically in relation to microbiology and infection control technologies
  • Contribute to and work within a safe working environment, specific roles of fire officer and first aider

Essential criteria
  • • GCSE (or equivalent) English and Mathematics grades A-C
  • • Experience in office management
  • • NVQ level 4 / Diploma level 4 qualification or equivalent experience
Desirable criteria
  • • Data analyst qualification level 3 or above
