The Acute Oncology service is seeking a dedicated and dynamic individual to join our team as a Senior Administrator.

This is an opportunity to be an essential part of our Oncology department, where your organisational skills and compassion will directly contribute to the well-being of our patients.

As this is a brand new role giving the right candidate an opportunity to shape processes and develop their own strategies .  

Main duties of the job

Duties will include: establishing a daily list of patients requiring review, once reviewed ensuring outcomes are recorded correctly on our Infoflex system,  checking and managing tasks from the AOS email shared inbox,  managing and developing various data reports to contribute to national Audits. 

Knowledge of medical terminology is desirable.

You should be highly motivated, and have good communication skills with the ability to empathise with a wide range of people. You will have the ability to work both independently and as part of a wider team. You will be expected to use initiative and discretion, and have excellent organisational skills.

You will be joining a newly revised and evolving service; based on the Ricky Grant Day Unit at Torbay Hospital a team of four specialist nurses provide front door assessments to patients who have side effects form their cancer and/or the treatments involved.

The Acute Oncology Service is an exciting opportunity for continued learning and to be involved in the UKONs AOS forum alongside the Acute Oncology Specialist nurses. 

Detailed job description and main responsibilities

Establish daily patient lists – Each day the AOS nursing team will require a list of patients requiring review - with support from AOS nursing team this list will be gained by looking through the Rappa system, Any triage referrals from the CNS nursing team and highlighting any Oncology patients that have attend ED or AMU as an emergency trigger sent to shared AOS email inbox. 

Checking and managing tasks from the AOS email shared inbox, ensuring patient referrals are dealt with in a timely manor.

Gathering data and creating reports – the candidate would be required to visit various clinical locations in the hospital to gather patient related data for audit purposes, once the data is collected it will be transferred to an excel sheet for compliance with a monthly audit.

Telephone Triage Service – The post holder will be responsible for managing incoming and diverting patient calls.

Infoflex (Tags and Outcomes) – When patients are reviewed by the AOS nursing team a folder will need opening on Infoflex to capture all AOS information under one heading.

Qualifications and Training

Essential criteria
  • Minimum of 3 qualifications, to include GCSE grade A-C/4-9 or equivalent in Maths and English
  • NVQ Level 3 in Business Admin or equivalent experience

Knowledge and experience

Essential criteria
  • Experience of working with computers and spreadsheets
  • Data Management & reporting
  • Administrative or Secretarial Experience
  • Ability to present data in a user friendly format – including presentations at meetings
  • Good knowledge of Microsoft Office software
  • Proven experience of providing a customer focused service
Desirable criteria
  • Have knowledge of hospital systems, i.e.: PAS, Infoflex, Cyberlab, Ultragenda, SystmOne
  • NHS experience – knowledge of Medical records
  • Understanding of Performance targets and waiting lists
  • Experience in Minute Taking
