An exciting opportunity has become available within Dorset HealthCare.  We are looking for a full time person (part time considered) with excellent computer and communication skills to work within the Dorset Bladder and Bowel Continence Service as a Secretary.  Supervised by the Team Lead.

Employment in this post requires a Standard Disclosure and Barring Service (DBS) check.

Main duties of the job

The main duties of this post are:

Answering the telephone and dealing with patient queries, passing messages onto clinician’s, taking referrals over the phone, booking appointments, appointment letters, scanning documents, checking emails and signposting accordingly.

Using the clinical computer systems mainly SystmOne and Essity Delivery Service, (our pad provision service)  to ensure incoming queries are handled quickly and effectively – this will include dealing with;  Registering patients to the service, appointments,  clinic letters and discharges, documentation requests, room bookings, ordering stock, carrying out audits etc

Knowledge, skills, and training

Essential criteria
  • Audio typing & minute taking skills
  • Strong verbal communication skills requiring tact and diplomacy
  • Methodical & Organisational skills
  • Advanced keyboard/touch typing skills

Job specific experience

Essential criteria
  • Previous experience with dealing directly with patients / families or carers or previous experience of working within a customer focused environment
Desirable criteria
  • Knowledge of Community & Specialist Nursing services within DHUFT

Information Technology

Essential criteria
  • Demonstrable experience of using all Microsoft Office applications to RSA lll or equivalent standard
  • Knowledge of System 1 patient database

Personal qualities/attributes

Essential criteria
  • Ability to priorities own workload and ability to work as part of team
  • Ability to work under pressure and to deadlines.
  • Ability to use own initiative within share of responsibility

Business travel

Desirable criteria
  • Subject to the provisions of the Disability Discrimination Act, able to travel using own vehicle on Trust business.
